About The Position

This role is crucial in representing the community as a sales representative, focusing on greeting prospects and residents and ensuring a welcoming atmosphere. The Leasing Specialist will operate under the direction of the Community Manager, adhering to all company policies, industry standards, and legal requirements including Fair Housing, ADA, and FCRA. This position involves a blend of sales, customer service, and administrative tasks to support the leasing and operational goals of the community.

Requirements

  • Prior experience in a customer service position preferred.
  • Knowledge of Multi-Family Operating Systems.
  • Proficiency in multiple PC software packages, including Microsoft Office.
  • Familiarity with the Internet and Windows operating system.
  • Strong organizational skills.
  • Strong communication skills (written and oral).
  • Strong interpersonal skills.
  • Ability to work in a fast-paced, customer service-oriented environment.
  • Problem-solving skills.

Responsibilities

  • Collect payments from prospective residents, current residents, and past residents and secure them in the community safe.
  • Collaborate with the team to achieve or exceed budgeted occupancy rates.
  • Maintain a professional and friendly atmosphere in the leasing office and common areas.
  • Inspect model apartments, market-ready units, and tour paths daily for cleanliness and availability.
  • Answer incoming phone calls, handle inquiries, and transfer calls to management when appropriate.
  • Greet prospective residents, qualify their needs, present the community and apartments, highlighting features and benefits.
  • Shop the competition, stay informed about local market conditions and trends, and contribute marketing ideas.
  • Review and post online and print advertising, including Craigslist ads, according to company policy.
  • Accurately complete lease applications, including verifications, and communicate results to prospective residents.
  • Complete all lease paperwork, including addenda, and process payments.
  • Execute lease contracts and process move-ins, renewals, notice-to-vacates, and move-outs in the operating system.
  • Complete guest card information for all interactions and enter data into the operating system.
  • Perform follow-up with prospects until a decision is made.
  • Maintain an inventory of office supplies and report needs to the Community Manager.
  • Organize and file reports, leases, and other paperwork.
  • Attend staff meetings as requested.
  • Assist in preparing daily/weekly reports, resident communications, move-out inventories, and market surveys.
  • Accept service requests from residents and forward them to the service team, conducting follow-up upon completion.
  • Ensure the office opens on schedule and confirm the condition of the office and model apartments meet company standards.
  • Document all conversations and activities with prospective residents and residents in the lease file and operating system.
  • Participate in weekly/daily office staff schedules and assignments.
  • Represent the company professionally at all times.
  • Maintain a positive customer service attitude.
  • Address resident concerns and requests promptly to ensure satisfaction.
  • Assist with resident retention programs, such as functions, promotions, and newsletters.
  • Prepare and track renewal offers for Community Manager approval and delivery.
  • Distribute company or community-issued notices (e.g., weather, emergency).
  • Physically inspect the community grounds, pick up litter, and report service needs.
  • Inspect move-outs and vacancies when requested and report any issues impacting leasing.
  • Learn and ensure compliance with all safety rules and report unsafe conditions.
  • Follow a 'safety first' principle.
  • Assist in executing emergency response procedures within company guidelines.
  • Perform additional duties as assigned by supervisors.
