About The Position

Maple is Canada's leading on-demand healthcare platform, connecting patients with Canadian-licensed doctors, nurse practitioners, and specialists. The Bilingual Lab and Referral Operations Coordinator will join the Care Delivery Operations team. This role requires precision, reliability, and follow-through to support clinicians, patients, and partners. The coordinator will manage day-to-day administrative workflows for lab and referral processes, including reviewing, processing, and routing documentation while ensuring privacy and quality standards are met. Success in this role depends on technical confidence, organizational skills, problem-solving abilities, and the capacity to work independently and collaboratively in a fast-paced environment while managing multiple priorities accurately. This is a fully administrative role, and prior medical or clinical experience is not required, though administrative experience in a healthcare setting is an asset. Maple is a virtual platform, so this is not a lab-based position.

Requirements

  • Two or more years of experience in an administrative or operations role.
  • Fluency in both French and English (written and verbal).
  • A detail-oriented mindset with a commitment to accuracy, quality, and process adherence.
  • Confidence in managing multiple tasks and deadlines independently in a fast-paced, high-volume environment.
  • Strong written and verbal communication skills.
  • Ability to collaborate across teams.
  • Sharp problem-solving and critical thinking skills.
  • Comfort learning and navigating multiple systems and tools.

Nice To Haves

  • Background as a Medical Office Assistant or Medical Receptionist.
  • Experience in a healthcare or clinic environment.
  • Experience with Google Workspace, PDF management tools, and Slack.

Responsibilities

  • Take ownership of a high volume of incoming lab and referral documentation (faxes, voicemails, digital records), processing and managing each in line with Maple's privacy and security standards.
  • Upload, route, and track lab results and referral information for timely clinician review and follow-up.
  • Respond to urgent lab communications and escalate critical results quickly to ensure patient safety.
  • Investigate missing, incomplete, or unclear documentation and coordinate with labs, clinics, and internal teams for resolution.
  • Maintain accurate patient records and ensure alignment between patient information and lab or referral data.
  • Support public health reporting and compliance-related documentation as required.
  • Collaborate with Customer Support and Care Delivery teams to address lab and referral-related inquiries from patients and providers.
  • Consistently meet accuracy, quality, and turnaround time expectations to ensure optimal care delivery operations.
