About The Position

We are seeking a Bilingual Front Desk Coordinator to serve as the first point of contact for clients and visitors in our law firm office. This is a high-visibility, client-facing role that requires professionalism, organization, and strong communication skills in both Spanish and English. You will be the first impression of our firm — but more importantly, you will be the person who keeps things moving, organized, and improving behind the scenes. You will work closely with leadership and gain exposure to how a high-performing law firm operates. Requirements

  • Fluent in Spanish and English (verbal and written required)
  • Minimum 3 years of receptionist or administrative experience
  • Strong customer service and interpersonal skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Close attention to detail and strong organizational skills
  • Proficient in Microsoft Word, Excel, and Outlook
  • High school diploma or equivalent required

Nice To Haves

  • Experience in an immigration or law firm setting
  • Experience handling high-volume phone systems
  • Associate’s degree or higher

Responsibilities

  • Serve as the first point of contact for clients, visitors, and team members
  • Manage a high-volume main phone line and direct calls appropriately
  • Schedule consultations and maintain accurate attorney calendars
  • Provide bilingual communication (Spanish/ English), updates, and information gathering
  • Prepare meeting rooms and support daily office operations
  • Maintain call logs and voicemail records
  • Organize and manage physical and digital client files
  • Prepare correspondence and translate documents as needed
  • Handle incoming and outgoing mail and deliveries
  • Provide administrative support, including data entry, document preparation, and coordination tasks
  • Assist with internal scheduling, travel coordination, and firm events as needed
  • Identify inefficiencies and propose solutions
  • Take ownership of improving processes and workflows
  • Anticipate needs before they become problems
  • Support leadership with operational coordination
  • Help elevate the overall client experience
  • Step into increasing responsibility as you prove performance
