About The Position

PHMC serves as both a direct service provider to individuals, families, and communities across the region and as an intermediary agent — managing large-scale contracts, government and philanthropic partnerships, and multidisciplinary initiatives that require operational sophistication, strategic leadership, and deep mission alignment. The Medical Receptionist will report to the Health Practice Manager. The Bilingual, Spanish-speaking Float Medical Receptionist performs a wide variety of front desk duties across all Specialized Health Services health center sites, covering staff vacancies, leaves, call-outs, and periods of high patient volume. The Float Medical Receptionist must adapt quickly to each site's patient flow, providers, and workflows while maintaining a consistent emphasis on quality of care and customer service. Fluent in English and Spanish. The Float MA communicates directly with Spanish-speaking patients and families and supports language access at every site. The position must exemplify the core values and mission of the organization, exercising discretion, diplomacy, and tact in patient/staff interactions.

Requirements

  • Fluent in speaking Spanish
  • Knowledge of billing procedures and Insurance verification.
  • Data Entry.
  • Knowledge of medical terminology.
  • Familiar with Managed Care Plans and Referral Process
  • Extensive Organization Skills
  • Must have a pleasant manner.
  • Ability to manage and complete work assigned by several staff
  • Must be flexible.
  • One to two years of experience in a medical office environment
  • High School Diploma or GED equivalent

Responsibilities

  • Responsible for all front Desk Functions in a Primary Care setting
  • Schedule Appointments
  • Schedule specialty and ancillary appointments
  • Answer Phones
  • Check in patients in EPIC
  • Responsible for patient registration data entry
  • Verify Insurance on Insurance Portals
  • Fee-assess patients and collect copays
  • Close cash drawer daily
  • Reconcile all payments collected
  • Daily Batching of encounter forms
  • Complete Managed Care Referrals
  • Obtain Pre-Certs when needed
  • Log referrals in the tracking system
  • Follow up for reports from specialists
  • Arrange transportation when needed for patients
  • Assist patients when needed
  • Review patients' charts and encounter forms for completion
  • Perform other duties as assigned
  • Understand and adhere to PHMC compliance standards as they appear in the PHMC Code of Conduct, Whistleblowers, and Conflict of Interest Policies.
  • Keep abreast of all pertinent federal, state, and PHMC regulations, laws, and policies as they presently exist and as they change or are modified.
  • Comply with HIPAA and Confidentiality Policies and Procedures as they apply to the job.
  • Comply with the standards of the Department of Public Health (DPH), The Joint Commission, and other accreditation and regulatory agencies' standards.
  • Adhere to all PHMC Policies and Procedures.
  • Knowledge of and adherence to Infection Control and Environment of Care Guidelines and Procedures as described in the annual education module.
