About The Position

PHMC serves as both a direct service provider to individuals, families, and communities across the region and as an intermediary agent — managing large-scale contracts, government and philanthropic partnerships, and multidisciplinary initiatives that require operational sophistication, strategic leadership, and deep mission alignment. The Bilingual, Spanish-speaking Float Medical Receptionist performs a wide variety of front desk duties across all Specialized Health Services health center sites, covering staff vacancies, leaves, call-outs, and periods of high patient volume. The Float Medical Receptionist must adapt quickly to each site's patient flow, providers, and workflows while maintaining a consistent emphasis on quality of care and customer service. Fluent in English and Spanish. The Float MA communicates directly with Spanish-speaking patients and families and supports language access at every site. The position must exemplify the core values and mission of the organization, exercising discretion, diplomacy, and tact in patient/staff interactions.

Requirements

  • Knowledge of billing procedures and Insurance verification.
  • Data Entry.
  • Knowledge of medical terminology.
  • Familiar with Managed Care Plans and Referral Process
  • Extensive Organization Skills
  • Must have a pleasant manner.
  • Ability to manage and complete work assigned by several staff
  • Must be flexible.
  • Fluent in speaking Spanish
  • One to two years of experience in a medical office environment
  • High School Diploma or GED equivalent

Responsibilities

  • Perform all medical receptionist functions at primary care and community-based health centers for underserved populations.
  • Perform all front Desk Functions in a Primary Care setting
  • Schedule Appointments
  • Schedule specialty and ancillary appointments
  • Answer Phones
  • Check in patients in EPIC
  • Responsible for patient registration data entry
  • Verify Insurance on Insurance Portals
  • Fee-assess patients and collect copays
  • Close cash drawer daily
  • Reconcile all payments collected
  • Daily Batching of encounter forms
  • Complete Managed Care Referrals
  • Obtain Pre-Certs when needed
  • Log referrals in the tracking system
  • Follow up for reports from specialists
  • Arrange transportation when needed for patients
  • Assist patients when needed
  • Review patients' charts and encounter forms for completion
  • Perform other duties as assigned
  • Understands and adheres to PHMC compliance standards as they appear in the PHMC Code of Conduct, Whistleblowers, and Conflict of Interest Policies.
  • Keeps abreast of all pertinent federal, state, and PHMC regulations, laws, and policies as they presently exist and as they change or are modified.
  • Comply with HIPAA and Confidentiality Policies and Procedures as they apply to the job.
  • Comply with the standards of the Department of Public Health (DPH), The Joint Commission, and other accreditation and regulatory agencies' standards.
  • Adhere to all PHMC Policies and Procedures.
  • Knowledge of and adherence to Infection Control and Environment of Care Guidelines and Procedures as described in the annual education module.
