Requirements

  • Minimum of 12 months of office, administrative, customer service, billing, accounts payable, or related experience.
  • Bilingual communication skills, with the ability to handle business-to-business interactions in more than one language.
  • Strong customer service and relationship-building skills, with a focus on professionalism and responsiveness.
  • Excellent verbal and written communication abilities, especially in email-based correspondence.
  • Comfort managing multiple priorities in a fast-paced environment while handling a high volume of cases.
  • Basic proficiency in Microsoft Office, including Excel, for data entry and reporting.
  • Strong attention to detail and organizational skills to manage a large portfolio of accounts accurately.
  • Positive attitude with a willingness to learn and develop new skills through ongoing training.

Nice To Haves

  • Experience in billing, accounts payable, accounts receivable, or collections.

  • Bilingual proficiency in Spanish is preferred.

Responsibilities

  • Manage a portfolio of approximately 400 active business-to-business accounts with a total value exceeding $2.5 million.
  • Review and monitor delinquent accounts, identifying past-due balances and prioritizing follow-up activities.
  • Handle inbound and outbound customer correspondence, primarily through email and the company’s collections lifecycle management (CLM) system, regarding account status and payment arrangements.
  • Work through approximately 50 customer cases daily while maintaining a high level of accuracy, professionalism, and customer service.
  • Collaborate with internal departments, including Finance, Billing, and Customer Service, to resolve account inquiries and payment issues.
  • Research account discrepancies and assist customers with billing-related questions and clarifications.
  • Maintain accurate customer records and update account information within company systems in a timely manner.
  • Generate, update, and maintain reports while meeting established department deadlines and performance expectations.
  • Balance collection objectives with a professional, customer-focused approach that preserves strong client relationships.
  • Ensure all written communications are clear, professional, and timely, adhering to internal standards and guidelines.
  • Use data entry skills to accurately document interactions, commitments, and outcomes for each account.
  • Support team-based goals and contribute to overall team performance to help achieve monthly bonus targets.
  • Participate in training and development activities to build knowledge of collections, financial services, and internal processes.
  • Demonstrate reliability in attendance and productivity to maintain eligibility for hybrid work arrangements.
