About The Position

Kimel Psychological Services (KPS) is seeking a highly organized, detail-oriented, and personable Spanish-speaking (and excellent English-speaking) Bilingual Administrative Assistant to join their growing practice. This position is ideal for someone who enjoys helping others, thrives in a collaborative environment, and wants to make a meaningful impact in the lives of children, adults, and families seeking psychological services. KPS is a group psychology practice specializing in psychological evaluations and therapy for children, adolescents, and adults with developmental disabilities, learning differences, ADHD, giftedness, twice-exceptional profiles, and mood disorders. They provide culturally sensitive, evidence-based services across Medicaid, Medicare, and private-pay populations. The practice is committed to providing high-quality, empirically validated, and culturally-sensitive evaluations and psychotherapy services. They are one of the few practices in town that can provide services in English and Spanish.

Requirements

  • Fluent Spanish and English language skills (spoken and written)
  • Strong empathy skills for working with complex families with high needs
  • Minimum of one year of administrative experience in a healthcare, mental health, medical, educational, or related setting
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Proficiency with computers and technology, including Google Workspace
  • Ability to learn and navigate electronic medical record and billing systems
  • Commitment to professionalism, confidentiality, and excellent customer service
  • Ability to work independently and effectively with culturally, linguistically, ethnically, and economically diverse families, using systems that are already in place
  • Commitment to remaining with the practice for at least two years
  • The ability to work in-office a minimum of two days per week

Nice To Haves

  • Bachelor's degree or higher
  • Experience working in a psychology, healthcare, or developmental disabilities setting
  • Experience with Therapy Appointment, Office Ally, Medicaid billing systems, or similar healthcare software.
  • Familiarity with insurance verification and healthcare billing procedures
  • Passion for supporting culturally and economically diverse neurodiverse individuals and Spanish-speaking families

Responsibilities

  • Serve as a welcoming first point of contact for clients and families
  • Respond promptly and professionally to phone calls, emails, and faxes
  • Conduct intake calls and answer questions regarding clinic services
  • Schedule appointments and manage clinician calendars
  • Coordinate room usage and scheduling logistics
  • Provide support to Spanish-speaking families throughout the intake and scheduling process
  • Verify insurance coverage and benefits
  • Assist with private-pay and insurance billing processes
  • Initiate appointment reminders and follow-up communications
  • Maintain accurate client records within our electronic medical record system
  • Scan, upload, organize, and shred client documentation
  • Ensure compliance with HIPAA and confidentiality requirements
  • Help organize toys and clinic materials and keep the space tidy
  • Work closely with the primary administrative assistant and clinical team
  • Help maintain an organized, professional, and welcoming office environment
  • Monitor administrative processes to ensure efficiency and quality
  • Participate in staff engagement events and team-building activities
  • Contribute ideas that help improve client experience and practice operations
