About The Position

As an active team member in the St.Amant Autism Programs, the Administrative Assistant participates in continuous quality improvement activities, including contributing to the development, modification and implementation of service and program goals, objectives, policies, procedures and standards. The Administrative Assistant uses service evaluation feedback to purposefully and continually strengthen services. The Administrative Assistant actively supports all Program initiatives designed to strengthen services and Program integrity. The Administrative Assistant assists clinical staff and program managers to implement direct, consultative or mediated models of service. The Administrative Assistant supports a client-centred approach to service or family centered practice when applicable. The Administrative Assistant is familiar with issues and trends in the field of developmental disabilities and autism spectrum disorder.

Requirements

  • Grade XII diploma or certificate
  • Secretarial training, community college or career college level with emphasis in computer and office skills
  • Two (2) years’ previous experience as an executive assistant, administrative assistant or secretary providing a broad range of administrative/secretarial services
  • Advanced oral proficiency in French is required. French language testing will be a requirement with a minimum B+ grade level in Speaking & Listening. This level implies that the incumbent can understand and communicate in French when required
  • Experienced and knowledgeable in the use of the full range of modern office equipment
  • Excellent computer capabilities with experience in using Microsoft Office products and applications including Word, Excel, PowerPoint, Publisher, Access, Outlook and Internet browsers.
  • Strong computer capabilities in Quadrant and other online/virtual platforms.
  • Strong organizational, time management and communication skills (written and oral)
  • Experience in producing accurate and attractive professional documentation/materials
  • Experience in creating and maintaining standard templates and forms
  • Experience working with employees and the public and in an effective and professional manner
  • Ability to work with minimal supervision as well as a collaborative team player in a team environment
  • Ability to organize and prioritize work in a fast-paced environment

Responsibilities

  • Organizing, creating and maintaining databases
  • Compilation, organizational, and dissemination of clinical and administrative data related to the St.Amant Autism Programs
  • Assisting in the preparation of reports and presentations in a variety of formats
  • Maintenance of electronic files
  • Organizes data in a computerized environment within specified timelines
  • Establishes and maintains a filing system of all hard data and reports produced by the St.Amant Autism Programs
  • Enters statistical data electronically, reviews data for accuracy and completeness, and prepares tables and graphs
  • Seeks support from IT or program managers when required to create new databases
  • Assists program managers in the preparation of graphic presentations
  • Summarizes qualitative data and organizes it in computer files in a format compatible with the production of reports, graphs and tables
  • Assists in the compilation of reports to the Province based on data collected and analyzed in the Program
  • Assists the Autism Programs’ management team in the compilation of reports related to program outcomes, as requested
  • Assists the Autism Programs’ management team in the summary and analysis of data related to CQI and Risk Management, as requested
  • Supports database users in the Program to keep current and accurate information, and in using summary tables and graphs through the creation of appropriate formulas
  • Assists management in creating Program related databases and summary formulas
  • Supports other administrative staff in maintaining databases created in the Program
  • Supports the scheduling office, as required
  • Develops and maintains the computer employee group lists in conjunction with IT Services
  • Supports St.Amant Autism Programs managers as assigned
  • Ensures that there is appropriate consent related to exchange of information and reviews this regularly
  • Consults effectively with other supports and services to ensure coordination of planning
  • Develops a clear understanding of health or client record documentation standards according to specific Program policies
  • Reports and documents all high risk or potentially high risk situations according to policy
  • Develops competencies in accordance with priority needs of the Program
