The responsibilities of the Bid Specialist I will include, but are not limited to, providing administrative support in bid processing, data entry, and data analysis.

Requirements

  • Bachelor's Degree - Business Administration.
  • Experience in Sales Support and/or Customer Service preferred.
  • Proficient writing skills.
  • Proficient computer skills with an understanding of Outlook, Excel, Word, and PowerPoint.
  • Ability to work independently and in a team environment.
  • Strong analytical and organization skills.
  • Ability to handle a fast-paced and deadline-oriented environment.
  • Consistent detail-orientation required.
  • Must be able to multi-task and adapt to sudden task changes.
  • Must be able to manage time to meet tight deadlines.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to complete projects efficiently and accurately.
  • Ability to work with varying levels of seniority.

Responsibilities

  • Process RFQ’s, contracts, and revision of review contracts.
  • Help negotiate terms with internal and external parties.
  • Review and update existing contracts for renewals.
  • Ensure all deadlines and conditions described on contracts are met.
  • Maintain an organized system of physical and digital records.
  • Handle the distribution of contracts for review and approval signatures.
  • Monitor all contract deadlines and conditions to ensure timelines are maintained by notifying relevant parties of upcoming dates.
  • Track and follow up on the contract authorizations and correspondence.
  • Prepare contract change notices and monitor performance.
  • Maintain the audit file for each of the contracts which include the original contract, all correspondence, changes/deviations, amendments, and clarifications.
  • Compile and report on daily, weekly, and monthly sales numbers.
  • Create monthly, quarterly, and annual reports.
  • Analyze sales data and generate presentations.
  • Update procedure as necessary.
  • General projects and additional tasks as assigned from time to time.
  • Performs other duties as assigned.
