Position Overview The Bid Coordinator is responsible for coordinating, preparing, and submitting competitive proposals in response to client requests. This role serves as a central point of communication between sales, engineering, and operations teams, ensuring accurate, timely, and compelling bid packages that align with client requirements and company standards.

Requirements

  • Experience in bid coordination, proposal management, or a related role in construction, engineering, or technical services.
  • Strong organizational and time management skills with the ability to handle multiple deadlines simultaneously.
  • Excellent written and verbal communication skills with a high attention to detail.
  • Proficiency in Microsoft Office Suite; experience with CRM or proposal management tools is a plus.
  • Ability to work collaboratively in a fast-paced, deadline-driven environment.
  • Strong analytical skills with the ability to interpret technical information and pricing data.

Nice To Haves

  • Experience supporting HVAC, building systems, or construction-related bids.
  • Familiarity with contract documents, scope development, and proposal compliance requirements.
  • A proactive mindset with the ability to anticipate needs and drive the bid process forward.

Responsibilities

  • Manage the full bid lifecycle, including reviewing RFPs/RFQs, coordinating internal stakeholders, and ensuring timely submission of proposals.
  • Collaborate with sales, engineering, and project teams to gather technical information, pricing, and project details.
  • Prepare, format, and finalize professional proposals, ensuring accuracy, completeness, and compliance with client specifications.
  • Track bid opportunities, deadlines, and outcomes while maintaining organized documentation and reporting.
  • Support pricing strategy by assisting with cost estimates, bid comparisons, and proposal analysis.
  • Ensure all submissions meet quality standards, branding guidelines, and contractual requirements.
  • Communicate effectively with internal teams to resolve gaps, clarify scope, and align deliverables.
  • Continuously improve proposal processes, templates, and tools to increase efficiency and win rates.
