The bid clerk plays a crucial role in the success of any construction project. With its attention to detail, organizational skills, and ability to communicate effectively, a bid clerk ensures the smooth operation of bidding processes. This position requires a high level of professionalism and a comprehensive understanding of construction industry practices.

Requirements

  • High school Diploma or GED required
  • Ability to work in high energy, fast paced environment.
  • Must be Highly Organized with high performance of multi-tasking.
  • Excellent organizational and time management skills to handle multiple bids simultaneously and meet deadlines.
  • Proficient in using bid management software, document management systems, Excel, and MS Word.
  • Strong attention to detail and accuracy to ensure bid submissions are error-free and compliant with requirements.
  • Familiarity with bid document types, such as RFPs, RFQs, tenders, and their components.
  • Ability to quickly understand bid specifications, drawings, and technical documents.
  • Flexible and adaptable to changing priorities and bid requirements.
  • Self-motivated with the ability to work independently as well as part of a team.
  • Highly proficient with creating/editing PDF’s.
  • Must be able to meet company’s employment requirements, which includes passing a drug screen, criminal background check, and MVR, if driving for the company.

Nice To Haves

  • Bachelor’s Degree preferred
  • Proven experience as a bid clerk or in a similar role, preferably in the construction, engineering, petroleum, or procurement industry is preferred, but not required.

Responsibilities

  • Review and analyze bid specifications and documents to understand the requirements and scope of work.
  • Prepare and organize bid packages, ensuring that all necessary documents are included and accurate.
  • Collaborate with the bid management team to gather relevant information for bids.
  • Coordinate and communicate with suppliers, subcontractors, and vendors to obtain quotes and pricing information for bidding purposes.
  • Maintain accurate and up-to-date records of all bid activities, documents, and communications.
  • Assist in the preparation and presentation of bid proposals, ensuring compliance with all bid requirements and deadlines.
  • Participate in bid evaluation and analysis, reviewing bid results and providing support in determining the most competitive bid.
  • Stay updated with industry trends, regulations, and best practices related to bidding and procurement to ensure a competitive advantage.
  • Maintain a library of past bids and proposals for reference.
  • Coordinate with various internal departments to ensure all bid requirements are met.
  • Follow up on bid submissions to track progress and outcomes.
  • Provide administrative support to the bid management team, including scheduling meetings, managing calendars, and organizing files.
  • Participate in bid team meetings and lessons learned sessions to continuously improve bidding processes.
  • Maintain confidentiality and handle sensitive information with integrity.
  • Stay organized and meet deadlines to ensure timely bid submissions.
  • Other work assigned by management.
