About The Position

Irby Construction Company, a Quanta Services company, is seeking a detail-oriented Bid Clerk to provide administrative and clerical support for the company’s bidding and proposal activities. This position assists with organizing bid documents, maintaining accurate records, preparing and distributing bid-related materials, and supporting timely communication so estimating and operations teams can meet proposal deadlines. The Bid Clerk works closely with estimators, project teams, operations personnel, and support departments to help ensure bid information is organized, complete, and readily available. The role requires strong attention to detail, basic computer proficiency, and the ability to manage routine administrative tasks in a deadline-driven environment.

Requirements

  • High school diploma or equivalent required
  • Must be comfortable working on both Windows and Mac operating systems.
  • Basic proficiency with Microsoft Office, including Outlook, Word, and Excel, and the ability to learn company bidding, estimating, document-management, or customer portal systems.
  • Ability to perform basic email correspondence, printing, scanning, copying, filing, document organization, and data entry accurately and efficiently.
  • Strong attention to detail and organizational skills with the ability to maintain accurate bid records and follow established processes.
  • Effective written and verbal communication skills and a customer-service mindset when supporting internal teams and external contacts.
  • Ability to manage multiple tasks, prioritize requests, and meet deadlines in a fast-paced, deadline-driven environment.
  • Ability to work independently while collaborating effectively with estimators, project teams, operations personnel, and support departments.
  • Candidates must be authorized to work in the United States without the need for sponsorship.

Nice To Haves

  • additional coursework or training in business, administration, construction, accounting, or a related field is preferred.
  • Prior clerical, administrative, estimating support, bid coordination, construction, or office experience preferred; entry-level candidates with strong organizational and computer skills may be considered.
  • Construction, utility, estimating, proposal, or bidding experience is preferred but not required.

Responsibilities

  • Assist with organizing, tracking, and maintaining bid opportunities, proposal documents, and supporting records.
  • Prepare, print, scan, copy, assemble, and distribute bid packages, proposals, specifications, drawings, forms, and other bid-related materials as requested.
  • Maintain bid logs, calendars, tracking spreadsheets, and electronic files to support proposal deadlines and follow-up activities.
  • Enter and update bid, vendor, subcontractor, and administrative information in company systems, spreadsheets, or tracking logs.
  • Assist with downloading, saving, organizing, and distributing bid documents received through email, customer portals, or other electronic sources.
  • Monitor shared email or assigned correspondence and provide basic email communication and follow-up with internal teams, customers, vendors, and subcontractors as directed.
  • Maintain organized electronic and paper files for bids, proposals, addenda, correspondence, pricing requests, and related documentation.
  • Support estimators and project teams by distributing requests for information, bid documents, addenda, and other materials to the appropriate parties.
  • Track receipt of requested bid information, quotations, forms, or supporting documents and follow up on outstanding items as directed.
  • Assist with proposal preparation by verifying required forms and attachments are included and documents are organized for review and submission.
  • Help maintain current vendor and subcontractor contact information and other bid-related reference files.
  • Provide general clerical and administrative support to the estimating, preconstruction, operations, and other departments as assigned.
  • Perform other duties and special projects as assigned.
