About The Position

Seeking a mission driven professional who aligns with our Medical Group’s core values of compassion, innovation and excellence. Under direction of the Director of HR/Benefit Operations, this position performs and manages benefits processing and administration for comprehensive benefit programs for physicians, other clinicians, and administrative staff at the Hawaii Permanente Medical Group (HPMG) and Pacific Permanente Group (PPG). This role involves supervisory and hands-on responsibilities, working onsite in Honolulu, HI.

Requirements

  • Bachelor’s degree in human resources, business administration, or related field.
  • 3-5 years of progressive experience in benefits operations with 1 year leave administration experience.
  • Knowledge of benefit regulations & processes (e.g., FMLA, HFLL, ERISA, COBRA, non-discrimination testing, etc.).
  • Technical knowledge: Intermediate Excel (e.g., VLOOKUP, pivot tables) and HRIS/payroll systems proficiency.
  • Strong analytical, problem-solving & project management skills with a continuous improvement mindset.
  • High diligence and ability to manage multiple deadlines.

Responsibilities

  • Oversee and manage daily operations of the benefits function, ensuring compliance with organizational policies and all applicable laws and regulations.
  • Oversee open enrollment, audits, processing, carrier interfaces and all benefit transactions.
  • Conduct benefit presentations, serve as lead Subject Matter Expert (SME) for the HR Service Center, and supervise Benefits Assistant.
  • Ensure prompt and accurate completion of benefits enrollment and related transactions, including updates to the HRIS and external vendor systems.
  • Serve as subject matter expert for benefit-related inquiries; clarify coverage and eligibility, and provide guidance on policy interpretation and application.
  • Supervise billing and invoice processes, reconciling over 40 distinct billings to guarantee accuracy and timely payments.
  • Perform pre-payroll validation in preparation for bi-weekly payroll processing cycles.
  • Conduct routine audits to proactively identify and resolve discrepancies, utilizing queries, standard reports, or generating ad hoc reports as necessary.
  • Identify and implement process improvements, including automation of manual workflows.
  • Maintain data integrity by addressing file errors and supporting seamless data transfer between the HRIS and vendor platforms.
  • Perform benefit presentations to new hires and physician candidates; update and enhance presentation materials.
  • Lead the planning and execution of annual open enrollment activities.
  • Manage a portfolio of protected/disability leave cases as case manager.
  • Support staff development initiatives to ensure delivery of proactive, high-quality services, support, and guidance to stakeholders.
