About The Position

The California Teaching Fellows Foundation (CTFF) is seeking a Benefits and Leave Specialist to manage employee leave requests, coordinate with state agencies for timely processing of Unemployment, State Disability, Paid Family Leave, and other EDD verifications. This role involves supporting the preparation of appeals, maintaining a Leave of Absence log, generating weekly leave reports, and following up with employees returning from leave. Additionally, the specialist will ensure accurate record keeping of all leave and benefits-related materials by scanning, logging, and uploading documentation into employee profiles and the HRIS system. They will also assist with verification letters and the development of communication materials. The position provides support for employee benefits programs, including scheduling orientation sessions, assisting with open enrollment, performing checks and reconciliations, and responding to general benefits inquiries. A key aspect of this role is ensuring employees receive timely and accurate information regarding leave and benefits by responding to calls, drafting communications, and guiding employees on verification requirements and benefit options, working closely with HR team members to maintain consistent messaging and a positive employee experience. Other duties as assigned include performing compliance-related tasks as directed by management.

Requirements

  • Minimum of 10 years of experience in EDD leave administration, human resources, or a related field.
  • In-depth knowledge of benefits programs (FMLA, retirement plans, etc.), federal and state leave laws, and employee onboarding procedures.
  • Fluent in the English language and able to communicate and convey information effectively.
  • Strong interpersonal and communication skills to work with supervisors, peers, and subordinates.
  • Skilled in clerical procedures and systems, including managing files and records, designing forms, and supporting the creation of systems and processes.
  • High level of accuracy in data entry and materials preparation.
  • Proficiency in HRIS systems (Paycom), benefits administration platforms (Ease), Microsoft Office Suite, and Google Workspace.
  • Strong organizational, problem-solving, and time management skills.
  • Ability to maintain confidentiality, exercise discretion, and demonstrate trustworthiness, flexibility, and a strong work ethic.

Responsibilities

  • Manage employee leave requests and coordinate with state agencies for timely and accurate processing of Unemployment, State Disability, Paid Family Leave, and other EDD verifications.
  • Support the preparation of appeals, maintain the Leave of Absence log, and generate weekly leave reports.
  • Follow up with employees returning from leave to update liaisons as needed.
  • Ensure accurate and compliant record keeping of all leave and benefits-related materials by scanning, logging, and uploading verification forms, correspondence, and supporting documentation into employee profiles and the HRIS system.
  • Maintain records for both part-time and full-time staff in the HRIS system.
  • Assist with the preparation of verification letters and the development of communication materials such as FAQs, slideshows, and general email notices.
  • Provide assistance with the delivery and maintenance of employee benefits programs.
  • Schedule benefits orientation sessions for eligible employees.
  • Support the open enrollment process through follow-ups and communications.
  • Perform checks and reconciliations across HRIS and similar platforms.
  • Assist in responding to general employee inquiries regarding benefits.
  • Ensure that employees receive timely, accurate, and supportive information regarding leave and benefits.
  • Respond to employee and third party calls.
  • Draft and send email communications with attachments or reminders.
  • Guide employees on verification requirements and benefit options.
  • Work closely with HR team members to maintain consistent messaging and to support a positive employee experience.
  • Perform additional compliance related tasks as directed by management to support organizational needs.
