Benefits Administration Manager Location: U.S. Headquarters – Orlando, Florida Reports To: Vice President, People Strategy Position Overview: We seek a hands-on Benefits Administration Manager to support U.S. operations of approximately 3,750 employees across 30 airport locations. Based at our Orlando headquarters, this role sits within the Benefits Center of Excellence and is responsible for benefits administration, leave coordination, HRIS benefit data integrity, compliance reporting, and the employee-facing benefits components of occupational injury, accommodation, and return-to-work processes. The position requires strong follow-through, sound judgment, and the ability to coordinate effectively with Safety, Risk Management, payroll, field HR, vendors, and operational leadership in a fast-paced, multi-site environment.

Requirements

  • 4+ years of experience in benefits administration, leave coordination, or related Benefits COE support, preferably in a multi-site, hourly, aviation, logistics, or service-based workforce environment.
  • Strong working knowledge of Dayforce, ADP, or similar HRIS/benefits administration platforms, with the ability to maintain accurate data and support audits or reconciliations.
  • Solid understanding of benefit plan administration, open enrollment, leave coordination, compliance reporting, and related employee support processes.
  • Detail-oriented, organized, and able to manage sensitive employee information with accuracy, discretion, and strong follow-through.
  • Comfortable supporting a high-volume, distributed workforce that includes hourly, unionized, and field-based employees.

Nice To Haves

  • Associate’s or bachelor’s degree in HR, Business Administration, or a related field preferred.
  • Experience coordinating with brokers, carriers, third-party administrators, payroll, Safety, Risk Management, and field HR partners preferred.
  • Working knowledge of employee-facing benefits considerations related to occupational injury, leave, accommodations, and return-to-work processes preferred.

Responsibilities

  • Administer employee benefit programs, including medical, dental, vision, life insurance, paid time off, and leaves of absence.
  • Coordinate annual open enrollment, including employee communications, education, and system readiness.
  • Partner with brokers, carriers, and third-party vendors to support enrollments, claims resolution, and benefit administration.
  • Maintain accurate benefit data in HRIS platforms, including ADP and Dayforce, through regular audits and reconciliations.
  • Prepare and submit required compliance reporting, including ACA, EEOC, and VETS-4212 filings.
  • Coordinate employee-facing benefit, leave, accommodation, return-to-work, and compliance activities related to occupational injury and illness cases in partnership with Safety, Risk Management, claims administrators, insurance carriers, payroll, and operational leadership.
  • Maintain accurate, compliant benefits records, documentation, and related employee files.
  • Respond to employee inquiries regarding benefits, leave processes, benefit deductions, and related plan questions.
  • Support compliance with benefit plan requirements, leave administration procedures, internal policies, and applicable reporting obligations.
  • Coordinate with field HR and People Strategy leaders on employee situations that involve benefits, leave, accommodations, or return-to-work considerations.
  • Track benefits-related issues and follow-up items, escalating matters to Benefits or HR leadership when appropriate.
  • Serve as a Benefits COE point of contact for field HR and operational leaders on benefits, leave, and related employee support matters.
  • Support benefits communication and process improvements that promote consistency across a distributed workforce.
  • Support HR audits, compliance reviews, and special projects as assigned.
  • Provide data gathering, process execution, and documentation support for the People Strategy team.
