Requirements

  • Knowledge of facilities management principles, including preventive maintenance and building systems (HVAC, electrical, plumbing, access/keys).
  • Knowledge of physical security program elements (alarms, cameras/CCTV, access control, vendor monitoring, site assessments).
  • Knowledge of workplace safety and health practices, including hazard identification, incident reporting, and emergency preparedness.
  • Knowledge of basic project management concepts (planning, coordination, timelines, follow-through).
  • Strong leadership and people management skills (coaching, delegation, training, performance feedback).
  • Effective written and verbal communication skills for communicating policies, procedures, and security/safety guidance across branches and offices.
  • Vendor coordination and negotiation skills (obtaining quotes, comparing proposals, managing performance).
  • Strong organizational, problem-solving and troubleshooting skills, especially for facility and security equipment issues.
  • Proficiency with Microsoft Office tools (Outlook, Word, Excel) and/or systems used for work orders, inventory tracking, and reporting.
  • Ability to assess risk, identify gaps, and recommend corrective actions related to physical security and safety.
  • Ability to maintain confidentiality and use sound judgment when handling security-related matters.
  • Ability to respond calmly and effectively in urgent or high-impact situations.
  • Ability to possess a valid driver’s license and maintain a clean driving record in order to operate a company vehicle or conduct essential functions of the job
  • Ability to travel to branch/market locations as needed.
  • Ability to complete the required training by assigned due date.
  • Ability to maintain predictable and reliable attendance
  • Minimum of 5 years of experience in law enforcement, bank security, physical security, or related experience required.
  • Minimum of 5 years of facilities management (multi-site preferred) or related experience required.
  • At least 3 years of leadership/supervisory experience required.
  • Equivalent education and experience will be considered

Responsibilities

  • Oversees construction and maintenance efforts for all Bank properties
  • Oversees preventative maintenance schedule and manage execution.
  • Coordinates with property manager for other than first level maintenance needs at 3 Pacific Place and Aksarben. Interfaces with property managers at all Emerging Market locations.
  • Oversees management of the 3 Pacific Place and 3500 Farnam Conference Centers
  • Provides budget recommendations and manage facilities expenses
  • Oversees development, implementation and maintenance of the bank’s physical security program to ensure physical security equipment is functioning as intended.
  • Oversees interaction with security equipment vendors, assess proposals, define scope of work and manage the relationship.
  • Oversees interaction with retail branch staff to ensure appropriate controls are in place and are being followed.
  • Participates on robbery response team as needed.
  • Provides budget recommendations and manage security related expenses.
  • Oversees completion of annual bank security review that is submitted to the board.
  • Oversees documentation of annual physical assessment reviews.
  • Manages employees within department including but not limited to hiring, training and developing employees, delegating work assignments, writing and conducting performance appraisals, salary recommendations, coaching and counseling, and administering corrective actions.
  • Provides leadership, direction and coaching to staff members to create, maintain, and nurture an environment where all can be optimally successful in their roles.
  • Assists with office moves, space planning, conference center support, and event logistics as needed.
  • Supports special projects related to facilities, security, business continuity, or bank operations.
  • Oversees the end-to-end bank supply ordering process, including standard office supplies, breakroom supplies, and operational materials.
  • Maintains approved vendor list and pricing; coordinate with Procurement/Accounts Payable as needed.
  • Ensures supplies are distributed to corporate, branch, and remote locations in an efficient and cost-effective manner.
  • Tracks spend and provides budget recommendations; identifies cost-saving opportunities and standardization.
  • Maintains supply-related documentation (ordering guides, preferred items, and processes) and communicate updates to stakeholders.
  • Leads the Bank’s Health & Safety Committee (agenda, meeting cadence, documentation, and follow-up on action items).
  • Coordinates workplace safety inspections and hazard identification; document findings and corrective actions.
  • Ensures required safety trainings are completed and tracked (e.g., emergency procedures, incident reporting).
  • Maintains emergency response and preparedness plans (evacuation plans, AED/first aid readiness, drills as applicable).
  • Manages incident reporting, investigations, and follow-up actions; escalate issues as appropriate.
  • Ensures compliance with applicable safety regulations and internal policies; partner with HR/Risk/Facilities as needed.
  • Communicates safety updates and reminders to employees and support continuous improvement initiatives.
  • Performs other duties as required and assigned.
