About The Position

This position provides timely assistance by answering and researching incoming calls, monitoring and responding to the Helpdesk mailbox, processing User Registration Agreements and demographic updates, uploading required documents into WFM, updating CLH notes, and submitting system issues to CLH Support for resolution. The role involves answering incoming calls, researching and responding to background screening inquiries, managing the daily Helpdesk mailbox, processing user registration agreements, processing personal and demographic information updates, and identifying and reporting system issues.

Requirements

  • At least one year of experience working in a professional office setting.
  • Ability to communicate verbally and in writing the details of the screening process.
  • Ability to work with Department and community partners for training and resolving background screening issues.
  • Candidate Profile (application) must be completed in its entirety.
  • Include supervisor names and phone numbers for all periods of employment.
  • Account for and explain any gaps in employment so that the hiring process is not delayed.
  • Experience, education, training, knowledge, skills and/or abilities as well as responses to pre-qualifying questions must be verifiable to meet the minimum qualifications.

  • Male candidates born on or after October 1, 1962, will not be eligible for hire or promotion into an authorized position unless they are registered with the Selective Service System (SSS) before their 26th birthday or have a Letter of Registration Exemption from the SSS.
  • Must successfully complete a State and National criminal history check as a condition of employment before beginning employment, and also be screened in accordance with the requirements of Chapter 435, F.S., and, if applicable, Chapter 408, F.S.
  • Participation in the State of Florida Direct Deposit Program is required as a condition of employment per F.S. 110.113, and enrollment must be completed within the first 30 calendar days of your appointment.

Responsibilities

  • Answer Incoming Calls: Respond to incoming calls and provide professional assistance to customers, staff, and other stakeholders. Research inquiries, identify appropriate solutions, and resolve issues within established procedures. Document relevant information and actions taken in Clearinghouse to ensure accurate and complete records.
  • Research and Respond to Background Screening Inquiries: Research inquiries regarding documents received, correspondence, and emails submitted through various Background Screening mailboxes. Review available records and systems to determine the status of requests and provide accurate information. Relay telephone messages and inquiries to the appropriate areas, including Background Screening-HR, Exemptions, and Background Screening, for further action when necessary.
  • Manage Daily Helpdesk Mailbox: Monitor the Daily Helpdesk mailbox and review incoming requests to determine the appropriate action. Research each inquiry, process requests according to established procedures, and provide timely and accurate responses. Follow up on outstanding items as needed to ensure requests are properly addressed and resolved.
  • Process User Registration Agreements: Review and process User Registration Agreements to ensure required information and documentation are complete. Upload supporting documentation into Workforce Manager, process and approve registrations in Clearinghouse as appropriate, and respond to related emails to confirm completion or request additional information.
  • Process Personal and Demographic Information Updates: Process requests for name changes, Social Security number updates, demographic information changes, and other corrections to screening records. Review supporting documentation for accuracy, make appropriate updates to the applicable systems, and upload required documentation into Workforce Manager to maintain complete and accurate records.
  • Identify and Report System Issues: Identify system errors and processing issues within Clearinghouse and submit detailed requests to Clearinghouse Support for resolution. Troubleshoot and document issues involving multiple or duplicate profiles, data entry errors, and errors affecting matched screenings. Provide supporting information and follow up as necessary to assist with timely resolution.
