About The Position

The Back Office Supervisor is responsible for the supervision of back office's operations and providing the optimum level of care. Assists with hiring and performance evaluations of staff and day-to-day operations. Supervises the back-office operations of the extended hours program. Serves as a mentor and PN resource to assist in meeting regulatory requirements. Provides cross coverage support for Practice Manager. Knowledge of medical front office procedures. Answers phone messages promptly. Maintains clean, neat and well-stocked exam rooms.

Requirements

  • High School Diploma or GED Required
  • 1 year experience in a physician office environment. Required
  • Basic Life Support (BLS) - Certification Required
  • Completion of an approved training program Required or Completion of an unapproved training program and successfully passes the medical assistant examination administered by a certifying organization accredited by either the National Commission for Certifying Agencies or the American National Standards Institute as described by the Arizona Administrative Code (Chapter 16 – Arizona Medical Board - R4-16-401 and R4-16-101) Required

Responsibilities

  • Oversees back office staff support to providers, including: Ability to assist in developing procedures to triage patients.
  • Obtaining patient vital signs as evidenced through documentation.
  • Obtaining patient and family medical history, social history and other information required by provider for patient evaluation as evidenced through documentation and audit.
  • Recording of reason/purpose for office visit.
  • Provides cross coverage/support for Practice Manager, including: Responds to security/alarm calls. Responsible for resetting alarm.
  • Processes and submits practice payroll in Manager’s absence.
  • Responsible for opening the safe in Manager’s absence.
  • Assists Manager in maintaining building security/access
  • Responsible for Electronic Health Records: Continually maintains Health Insurance Portability and Accountability Act (HIPAA) and other HH compliance requirements.
  • Enters medical information into patient electronic medical record (EMR) system. Ensures all required information is keyed thoroughly and accurately.
  • Proactively takes ownership of issues and participates in problem resolution process. Escalates issues to designee as necessary.
  • Brings errors and/or issues to the attention of designee
  • Navigates through multiple complex EMR screens and enters data
  • Assists providers with exams as needed.
  • Assists with minor surgeries, patient exams and other procedures as directed.
  • Provides assistance with obtaining urinalysis, phlebotomy, bandage changes, screening audiograms, EKG’s and any other physical examination as needed.
  • Must be well-versed in applying first aid to patients as needed, sterile techniques, proper handling of contaminated body fluids and use of proper body mechanics.
  • Administers vaccines and/or other required injections.
  • Maintains inventory levels of medical supplies.
  • Provides assistance to Pharmaceutical Reps in collecting, stocking and documenting samples.
  • Assures that all outdated drugs and supplies are removed and disposed of properly in a timely manner and consistent with applicable regulations.
  • Monitors departmental expenditures to ensure compliance with budgetary parameters.
  • Performs other duties as assigned.
