About The Position

National Capitol Contracting is seeking a highly organized and customer-focused AV Conference Services Event Planner to support the National Institutes of Health (NIH), the nation's premier medical research institution. This unique hybrid role combines conference planning, audiovisual technology, and onsite event execution to deliver exceptional meeting experiences for world-renowned scientists, physicians, researchers, government leaders, and distinguished guests across the NIH Bethesda campus.

Requirements

  • Ability to obtain and maintain Public Trust Clearance (You will need to pass a criminal background check and credit check).
  • 2+ years of relevant experience in a similar role.
  • Experience in supporting and troubleshooting AV systems/components in a conference/event space.
  • Proficiency in event management software and Microsoft Office Suite (Outlook, Teams, Word, Excel, and Resource management systems).
  • Excellent written and oral communications, interpersonal, and project planning skills.
  • Working knowledge of networking AV equipment.
  • Exceptionally organized with the ability to multitask and prioritize effectively in a fast-paced environment.

  • Bachelors degree in Events Management, Event Planning, Marketing or related field.

Responsibilities

  • Planning and organizing conferences: this involves coordinating all aspects of conference planning including but not limited to: Capturing the vision for an event, partnering with NIH’s scientific centers to select an appropriate venue on campus, obtaining client agendas, understanding the run of show, discussing required elements such as 508 compliance, security needs, and other logistics.
  • Ability to coordinate, supplemental services, on-site operations, multimedia services, campus security, parking and transportation - ultimately working to guarantee a seamless and enjoyable experience for all attendees.
  • Configure conference rooms and operate presentation, collaboration, video conferencing, and audiovisual equipment.
  • Provide onsite support for meetings and conferences, including presentations, microphones, hybrid meetings, livestreams, and recordings.
  • Troubleshoot audiovisual and event-related issues before and during meetings, coordinating with AV Engineering and leadership when necessary.
  • Maintain accurate event documentation within scheduling and resource management systems and complete required reports.
  • Perform basic testing, preventative maintenance, and operational readiness checks on assigned conference spaces and audiovisual equipment.
  • Manage multiple events simultaneously while delivering exceptional customer service and maintaining a professional presence.
