About The Position

The Automotive Service Writer serves as the primary point of contact between students, faculty, and customers for Ivy Tech’s Automotive Educational Program. This position supports instructional goals by managing service orders of community partner organization, coordinating community partner organization vehicle service, maintaining accurate records, and fostering a professional shop environment that reflects real-world industry practices. The Service Writer ensures that program operations simulate dealership and independent shop standards, providing students with practical learning experience.

Requirements

  • A high school diploma or GED.

Nice To Haves

  • Possessing or working towards an associate’s degree in automotive technology.
  • Prior experience in automotive maintenance, customer service, or as a technician.
  • ASE Certification(s) in Service Consultant, Automotive Parts or related areas.
  • Previous experience in an educational or training environment.
  • Demonstrated ability to mentor and support students in a learning setting.
  • Familiarity with dealership and independent shop operations.

Responsibilities

  • Greet and assist customers, students, faculty, and partner organizations with professionalism and excellent customer service.
  • Coordinate foundations to ensure grant compliance and growth.
  • Schedule, write, review, and manage standard maintenance and repair services for partner organization vehicles serviced within the program.
  • Communicate clearly among customers, students, faculty, and instructors regarding vehicle status, service needs, parts availability, and projected timelines.
  • Maintain accurate service documentation, repair orders, vehicle histories, inspection records, and customer files.
  • Coordinate workflow between faculty, staff, students, and the automotive lab to ensure vehicles are scheduled appropriately for student learning activities.
  • Provide students with guidance and training on industry-standard service writing practices, customer interaction, scheduling, and basic shop management procedures.
  • Manage parts ordering, receiving, invoicing, and cost tracking in coordination with faculty and program leadership.
  • Assist with maintaining inventory levels of shop supplies, fluids, filters, PPE, and commonly used parts; notify faculty of replenishment needs.
  • Monitor and help ensure compliance with shop safety procedures, OSHA requirements, environmental regulations, and program policies.
  • Assist in maintaining a clean, organized, and professional service office and automotive shop environment.
  • Perform basic housekeeping duties within the automotive lab, including sweeping floors, organizing work areas, cleaning tools and benches, disposing of trash, and ensuring equipment is returned to proper storage locations.
  • Assist with keeping bays, tool rooms, parts storage areas, and shared workspaces organized and ready for instructional use.
  • Help prepare vehicles, tools, equipment, and workstations for class activities and student projects.
  • Assist instructors and lab staff with basic lab technician duties, including moving vehicles, setting up equipment, checking out tools, and preparing materials for labs.
  • Perform minor maintenance and upkeep on shop equipment and tools, such as cleaning, organizing, and reporting repair needs to faculty or the lead lab technician.
  • Help monitor the condition and cleanliness of shop equipment, lifts, diagnostic tools, and service areas.
  • Assist with receiving, labeling, storing, and organizing parts, supplies, and donated materials.
  • Support program events, advisory board meetings, tours, recruiting activities, and community engagement initiatives.
  • Perform other duties logically associated with the position as assigned by the Program Chair or faculty.
