About The Position

Preferred Automotive in Grand Haven, Michigan is seeking an organized, detail-oriented, and dependable individual to join their growing centralized Office team as an Automotive Dealership Office Assistant. This role is crucial for supporting various dealership operations, including Buy Centers, vehicle deal accounting, and Finance product cancellations. The ideal candidate is comfortable working with numbers, values accuracy and follow-through, and thrives in a fast-paced, supportive environment that encourages growth.

Requirements

  • Dealership accounting or automotive office experience preferred.
  • Prior experience with vehicle accounting, inventory, titles, or F&I products is a plus.
  • Prior experience with Dealertrack DMS software preferred.
  • Strong organizational skills and exceptional attention to detail.
  • Strong communication, interpersonal, and problem-solving skills.
  • Ability to manage multiple responsibilities and follow tasks through to completion.
  • Comfortable working with numbers, financial transactions, and accounting records.
  • Proficiency in using computer systems, including Microsoft Office.
  • A proactive and results-oriented attitude.
  • The ability to work independently while also being a strong team player.
  • Dependable attendance and the ability to meet deadlines in a fast-paced environment.

Responsibilities

  • Process vehicles purchased through Buy Centers, including stocking into inventory, reviewing documentation, issuing payments, processing lien payoffs, and ensuring all paperwork is complete.
  • Track outstanding titles, lien releases, payoff documentation, and other Buy Center purchase paperwork, following up as needed for timely completion.
  • Post accounting for new and used retail and lease vehicle deals, ensuring accurate and timely financial information recording.
  • Review deal documentation for completeness and assist in resolving discrepancies before or during the posting process.
  • Process cancellations and refunds for service contracts, GAP, maintenance plans, and other Finance products.
  • Submit cancellation requests to product providers and track them through completion.
  • Process applicable refunds to customers and/or lienholders and ensure proper recording of credits and refunds.
  • Monitor and reconcile job-related accounting schedules and research outstanding or aged items.
  • Communicate with customers, banks, vendors, dealership managers, and other departments to resolve missing documentation or discrepancies.
  • Ensure processing deadlines are met and transactions are completed accurately.
  • Assist with month-end closing activities and accounting schedule cleanup.
  • Maintain organized and accurate electronic and physical records.
  • Cross-train in other dealership office functions for coverage and team support.
  • Perform various other accounting and administrative duties as assigned.
