About The Position

This role is responsible for managing the administrative aspects of the auto body shop, including creating and managing repair folders, maintaining files in management software, and communicating with customers and business partners. The administrator will also handle billing, customer updates, and administrative tasks related to repair orders and purchase orders.

Responsibilities

  • Create and manage all new repair folders coming into the shop
  • Open and maintain repair files in management software
  • Build and organize estimating software files for each job
  • Ensure all documentation is accurate, complete, and up to date
  • Use partner-provided damage sheets to initiate basic blueprinting of vehicle (not full estimating)
  • Submit bills to fleet partners based disassembly of vehicle
  • Provide ongoing status updates to fleet partners, including completion timelines, through their system
  • Handle incoming retail glass inquiries
  • Provide updates to customers throughout the repair process
  • Close, invoice, and mark delivery for all Recon work orders
  • Collect purchase orders from dealerships
  • Follow up with dealerships when needed to secure missing POs (minimal but important administrative touchpoint)
