GENERAL DESCRIPTION OF POSITION: The Office Manager is responsible for supervision of the clinic front office staff and the financial and business office operations at Pacific EarClinic. As the Billing Specialist, they will be responsible for insurance verifications for all patients, medical billing, maintenance of billing workflows, account monitoring, and coding of invoices for Accounts Payable. The position supports the mission of Pacific University and Pacific EarClinic and the School of Audiology by providing exemplary support for front office operations, insurance, billing, and related functions, all of which are essential for the effective management of the school’s clinical services. This is a full-time, in person staff position reporting to Chief Clinic Operations Officer.

Requirements

  • High school diploma required. Bachelor’s degree preferred or equivalent work experience.
  • Previous experience working in a health care facility with an emphasis in clinic management and minimum 2 years medical insurance billing.
  • Strong word processing and database management skills.
  • Working knowledge of computers, standard office equipment and EHR (electronic health record systems).
  • Ability to maintain accuracy in numerous detailed record-keeping tasks through automated systems.
  • Communicates effectively with students, faculty, staff and the public appropriate to the age of the individual served.
  • Builds on basic learning and carries it from one situation to another.
  • Demonstrates critical thinking skills in problem solving and decision-making.
  • Asks questions and seeks assistance. Takes responsibility to eliminate the source of problems.
  • Demonstrates confidentiality regarding information pertaining to all students, faculty and staff.
  • Maintains proper appearance and personal conduct for the employee’s particular job.

Nice To Haves

  • Experience in audiology preferred, but not required.
  • Billing and Coding certifications preferred.
  • Bilingual – English and Spanish –preferred.

Responsibilities

  • Provides on-site supervision, scheduling, and training of clinic front office staff and actively engages in routine business operations at the center.
  • In collaboration and direction from the Healthcare Operations Billing Manager, is responsible for the posting of charges and payments and assuring all billing processes are accurate and timely.
  • Is responsible for accuracy and completion of all aspects of billing for the PEC and development of training for others involved in the process.
  • Collects patient balances at time of service and contacts patients if their account becomes delinquent. Works with Financial Counselor to successfully set up payment plans.
  • Is responsible for preparing and submitting electronic or paper claims to insurance companies and other payers.
  • Checks and verifies patients’ insurance benefits. Evaluates and processes explanation of benefits. Trains other involved in the process.
  • Effectively communicates financial obligations to patients and clinical providers at time of service
  • Works closely with insurance companies to resolve outstanding issues and secure payment on unpaid or denied claims.
  • Works with the centralized billing team to ensure posting of electronic remittance advances (ERAs).
  • Provides follow-up to patients and insurance companies regarding payment and billing issues.
  • Answers billing questions from patients, audiologists, and other individuals.
  • Ability to review and analyze patient medical records and documentation to ensure that clinician notes, results, and reporting is exact and relevant for the selected ICD-10 codes and HCPCS.
  • Ensure coding compliance with all applicable regulations and guidelines, including HIPAA, Medicare, and Medicaid.
  • Maintain accurate and organized billing and coding records per HIPAA guidelines for storage and disposal of patient information
  • Participates in regular training and education sessions to maintain professional competency.
  • Works cooperatively with the Clinic Director, course instructors, and attending doctors on duty and the Director of the School of Audiology to coordinate balanced educational experiences for students in the clinic.
  • Performs all duties in a manner that contributes to the overall professional appearance and atmosphere of the center.
  • Works closely with the Clinic Director to maintain efficient, positive, and compliant office operations.
  • Oversees timely preparation and distribution of correspondence. Typical correspondence may include: letters, billing statements, patient reports, referral information, acknowledgement of referrals, and managed care documents.
  • Maintains confidentiality of protected health information and protected student educational information per HIPAA, FERPA, and other related rules and regulations.
  • Performs other related duties as assigned.
