About The Position

The job of Attendance Specialist - Middle School is done for the purpose(s) of monitoring student attendance and/or compliance to district, local and State regulations, maintaining attendance/discipline files and records, processing legal documents, representing the District in attendance related proceedings, ensuring compliance with District, State and Federal attendance policies, and working with parents to ensure appropriate student placement.

Requirements

  • High school graduation or GED equivalent.
  • Two (2) years of secretarial/clerical work experience that included record keeping and/or statistical work.
  • Valid State of Washington Driver's License or equivalent mobility.
  • Criminal Justice fingerprint background clearance.

  • One (1) year of college or business school may substitute for one year of the required work experience on a month-for-month basis.

Responsibilities

  • Attends a variety of District functions, as required (e.g. meetings, in-service workshops, training, etc.) for the purpose of taking minutes and receiving and/or conveying information.
  • Compiles data (e.g. legal documents, attendance statistics, etc.) for the purpose of evaluating information and/or completing forms/documents.
  • Coordinates field trips (e.g. forms, bus transportation, meetings, etc.) for the purpose of ensuring compliance with District policies, and procedures.
  • Maintains a variety of complex and confidential files and records (e.g. case files, legal documents, attendance data, office detentions, in-school suspension, etc.) for the purpose of ensuring an up-to-date trail for audit and/or reference.
  • Monitors students' attendance and/or processes for the purpose of ensuring student compliance.
  • Prepares a variety of written materials (e.g. State reports, legal documents, correspondence, mail outs, letters, suspension notices, etc.) for the purpose of documenting activities, providing written reference and/or conveying information in accordance with District, State and Federal requirements.
  • Processes a variety of documents (e.g. attendance sheets, facsimiles, reports, etc.) for the purpose of ensuring availability of documents and material and ensuring an up-to-date reference trail.
  • Represents the District in matters relating to truancy, (e.g. suspension and expulsion, BECCA bill court petitions, etc.) for the purpose of presenting information and complying with District, State and Federal policies.
  • Responds to inquiries from a variety of people (e.g. building administrators, building secretaries, parents, students, staff, community, outside agencies, etc.) for the purpose of providing information and direction.
  • Provides administrative support to assigned administrator as requested.
  • Instructs incoming teachers on attendance policy and procedures.
  • Performs auto-dialer functions in order to ensure school is in compliance with District and State regulations regarding truancy policy.
  • Performs related duties consistent with the scope of the position.
