About The Position

The Attendance Secretary will monitor and record student attendance in accordance with state law and district policy and procedure. This role involves processing attendance documentation, communicating with parents and staff, maintaining records, and serving as a secretary to the guidance department. The position requires excellent interpersonal, organizational, and computer skills, with the ability to work effectively under pressure and in a busy office environment.

Requirements

  • High School diploma required
  • Submission of pre-employment medical examination (Section 148 of the Pennsylvania School Code)
  • Submission of a report of criminal history record from the Pennsylvania State Police (Section 111 of the Pennsylvania School Code)
  • FBI Criminal History Record
  • Submission of a clearance report from the Pennsylvania Department of Public Welfare in accordance with Act 151 of 1994
  • Must possess leadership skills
  • Must possess computer skills
  • Ability to operate various office equipment
  • Ability to communicate effectively
  • Ability to organize tasks
  • Ability to handle multiple tasks
  • Ability to exercise good judgment
  • Must possess excellent interpersonal skills

Responsibilities

  • Process documentation for students reporting late and for those seeking early dismissal.
  • Receive and process all early dismissal requests and absence notes.
  • Communicate with parents, faculty, and administrators regarding student tardiness, early dismissals, and absences.
  • Process and file student absences.
  • Input daily attendance information into the student database.
  • Maintain an accurate, comprehensive, and efficient filing system for attendance-related documents.
  • Process unlawful/unexcused absences, including completing detention cards and updating the student database.
  • Prepare and distribute all correspondence relative to student attendance.
  • Utilize the district’s computer system for student accounting and attendance issues.
  • Purge student attendance folders annually and store documents.
  • Serve as direct secretary to the guidance department, scheduling appointments, conferences, and student meetings.
  • Help maintain calendars for the guidance department.
  • Coordinate with district social workers to communicate attendance records for habitually absent and tardy students.
  • Perform other duties as assigned by the building Principal and administrators.
