About The Position

San Antonio College Prep HS is seeking an Attendance/Lunch Clerk to manage student attendance records, process lunch program applications, and provide clerical support. This full-time position involves ensuring accurate data entry, communicating with parents and staff, and maintaining organized files. The role requires adherence to school policies and USDA regulations for nutrition programs.

Requirements

  • High School GED or Diploma
  • Minimum of 2 years clerical experience is preferred.

Responsibilities

  • Ensure teachers take school attendance in the school database as described in the SST SCHOOLS manual.
  • Review and correct campus school attendance summary reports.
  • Enter "late in and early out" student data into the school attendance database.
  • Enter excuse information into the H-SIMS database after receiving required papers.
  • Document excuse papers in a separate binder for audit purposes.
  • Document reconciliation papers in a separate binder for audit purposes.
  • Notify parents when a student returns from an absence without an excuse or has been absent for three or more days.
  • Call parents of absent students daily.
  • Communicate with the Special Education and ESL Department Chairs concerning the attendance of students receiving special education services.
  • Maintain logs for enrolling and withdrawing students on H-SIMS.
  • Verify that computer records are accurate.
  • Mail warning notices (Truancy letters) to parents if students are absent without excuse for three days or parts of days in a four-week period.
  • Determine students with excessive absences on a regular basis.
  • Submit attendance referrals to the campus administrator for review and completion before filing court cases.
  • File court cases against parents or students if a student is absent without an excuse for 10 days or parts of days in a six-month period.
  • Process Student Eligibility applications and complete verification in accordance with USDA regulations.
  • Monitor student lunch accounts and notify households of negative balances via phone calls and letters.
  • Review meal service production records daily, reporting discrepancies to the supervisor.
  • Operate Point of Service during lunch periods, ensuring students select a reimbursable meal.
  • Maintain documentation for students requesting Special Dietary Accommodations, in accordance with USDA protocol.
  • Operate the After School Snack Program, distributing snacks and maintaining documentation (if applicable).
  • Participate in the Local School Wellness Policy, including collecting and maintaining documentation, assessing goal completion, publicizing updates, and other related activities.
  • Record daily meal counts and revenue.
  • Operate the Child Nutrition Program in compliance with all local, state, and federal laws.
  • Attend TDA Education Service Center Child Nutrition trainings as required.
  • Provide clerical support to one or more supervisors.
  • Maintain general office and departmental files, following up on misplaced, misdirected, or misfiled materials.
  • Perform other job-related duties as assigned.
