About The Position

Performs responsible clerical work requiring a qualified typist; prepares and maintains fiscal and related records; does related work as required. Work is performed under the regular supervision of a school secretary, assistant principal and/or principal.

Requirements

  • Qualified typist
  • Ability to type accurately and at a reasonable rate of speed
  • Knowledge of standard office practices, procedures and equipment
  • Some knowledge of school system routine and procedures
  • Some knowledge of bookkeeping terminology, methods and procedures
  • General knowledge of business English, spelling and arithmetic
  • Thorough knowledge of personnel and payroll procedures, financial record keeping and banking procedures
  • Ability to establish and effective working relationships with others
  • Ability to work under pressure
  • Ability to organize and perform work independently
  • Ability to meet the public effectively
  • Stooping, reaching, standing, pushing, pulling, lifting, and fingering
  • Vocal communication is required for expressing or exchanging ideas by means of the spoken word
  • Hearing is required to perceive information at normal spoken word levels
  • Visual acuity is required for preparing and analyzing written or computer data, and observing general surroundings and activities

Responsibilities

  • Assisting the school secretary, Assistant Principal and Principal in preparing and maintaining files and records
  • Serving as telephone operator and receptionist
  • Assisting students and parents
  • Meeting and screening visitors, answering telephone and processing mail
  • Maintaining manual and computer registers, attendance and grade records and reports
  • Registering students, verifying data, answering questions, typing schedules and preparing records
  • Signing students in and out, writing student passes
  • Processing withdrawing students, processing and forwarding records
  • Preparing attendance records and student information for data entry
  • Typing letters, memos, reports, bulletins, requisitions, invoices, schedules, manuals, student files and records
  • Processing and distributing mail
  • Setting up and maintaining office filing systems
  • Assisting with collection and accounting for fees
  • Posting attendance and student records to computer
  • Preparing and maintaining payroll, leave and personnel files
  • Performing related tasks as required
