About The Position

This position is responsible for maintaining accurate attendance records for Hoover High School for the 26-27 school year. The Attendance Clerk will manage student attendance data, communicate with parents and staff, and perform various clerical duties to support the school office.

Requirements

  • High school diploma, Hi SET or G.E.D.
  • Previous secretarial/clerical work or equivalent training
  • Computer skills
  • Skills in the operation of office equipment
  • Competency working in a culturally diverse environment or the willingness to acquire these skills.

Responsibilities

  • Run and save Daily Attendance Reports from the previous day.
  • Print hard copies of the Daily Attendance Report for teachers and the attendance associate.
  • Record daily absences, tardies, and suspensions in Infinite Campus based on phone calls, emails, and attendance cards.
  • Respond to parent and guardian phone calls regarding student attendance.
  • Answer the phone in the attendance office and direct calls appropriately.
  • Manage the reception desk for the VP and SIL.
  • Issue passes to students for entering and exiting the building.
  • Verify student tardiness and absences as needed.
  • Enter time and reason for tardiness in the computer.
  • Issue passes to students or send them to the VP for excessive tardies or absences.
  • Manage visitor sign-ins, contact visitors' destinations, and issue passes.
  • Supervise student workers.
  • Perform clerical tasks as directed by the Principal, Vice Principal, and Dean of Students.
  • Look up information in the Parking Database when requested.
  • Fax and mail suspension letters to home schools and parents/guardians.
  • Input new student records into the Infinite Campus discipline database.
  • Assign lockers to teachers for student assignment and maintain records.
  • Deliver messages to students in class as called by parents.
  • Document paper excuses from students regarding absences.
  • Keep track of all home school activities for students.
  • Fax attendance reports to home schools each morning.
  • Respond to questions from teachers regarding attendance and school activities.
  • Respond to students with problems sent to the office.
  • Type bus assignments for all buses.
  • Supervise students waiting to see the Vice Principal or Dean of Students.
  • Respond to questions, problems, and requests over the walkie-talkie.
  • Research questions regarding home school activities.
  • Respond to phone calls from other schools regarding student attendance.
  • Call home schools to notify about late buses.
  • Notify the office to announce late buses and admit students without a pass.
  • Sign and document field trip forms in the computer.
  • Enter address changes of students in Infinite Campus.
  • Look up questionable absences in Infinite Campus or call the home school.
  • Perform other duties as requested by supervisor/office manager.
  • Attend work on a prompt and regular basis.
  • Maintain confidentiality.
  • Maintain satisfactory and harmonious relationships with the public, students, and other employees.
  • Assist with other duties as may be assigned.
