About The Position

The Division of University Advancement engages CSUB alumni, donors, and friends to connect the university with the community through communications, events, programs, and philanthropic opportunities. The division aims to advance the resources available to the university and strengthen higher education in our region. Within the Division of University Advancement, under general supervision of the Associate Athletics Director of Development, the Athletics Annual Fund Coordinator administers and executes annual fund and donor engagement activities in support of CSUB Athletics. The position is responsible for coordinating solicitation, cultivation, and stewardship efforts for the Roadrunner Club, including managing the annual fund renewal process, maintaining ongoing donor and prospect relationships, and supporting revenue-generating initiatives tied to athletics programs. The incumbent manages an assigned portfolio of annual fund-level donors and prospects, coordinates fundraising and stewardship events, and collaborates with internal stakeholders to implement donor engagement strategies. The position applies working knowledge of advancement practices to monitor participation and retention trends, support prospect identification efforts, and ensure accurate donor data management. The role requires independent judgment in prioritizing work, coordinating multiple activities, and delivering a high level of donor service while supporting established fundraising goals and priorities.

Requirements

  • Equivalent to a bachelor's degree in a related field and two (2) years of relevant experience.
  • Additional experience which demonstrates acquired and successfully applied knowledge and abilities may be substituted for the required education on a year-for-year basis.
  • An advanced degree in a related field may be substituted for the required experience on a year-for-year basis.
  • Possession of a valid driver’s license or the ability to obtain by date of hire.
  • Regular and reliable attendance is required.
  • Working knowledge and understanding of advancement principles and current best practices.
  • Competence in independently applying judgment to resolve non-standard problems and issues. Includes interpretation of applicable regulations, standards, and guidelines.
  • Strong analytical and organizational skills to plan, organize, prioritize, and ensure the successful completion of fundraising campaigns or events within time and budget constraints.
  • Strong communications and interpersonal skills to effectively coordinate multiple stakeholder relationships and guide the development of appropriate fundraising and promotional materials.
  • Ability to effectively lead and train others.
  • Knowledge of event planning, fundraising, budgeting, and accounting principles and processes.
  • Proficiency in using advancement or donor management software and financial systems.
  • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
  • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.

  • Working knowledge of or ability to quickly learn University infrastructure.
  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work occasional holidays and adjust working hours to meet special jobs.
  • May be called back periodically to perform work as needed on an emergency basis.

Nice To Haves

  • Experience supporting or coordinating annual fund campaigns, donor outreach, or fundraising events.
  • Experience managing or supporting a donor portfolio including tracking donor interactions, maintaining ongoing communication, and supporting retention strategies.
  • Experience with databases/CRM systems (e.g., Raiser's Edge, Salesforce).

Responsibilities

  • Coordinate and manage the annual fund renewal process at both the close of the calendar year and fiscal year to support a high rate of Roadrunner Club member retention.
  • Monitor participation and retention trends.
  • Maintain contact (in-person, electronically, and telephonically) with donors regarding renewal of annual gifts, and with prospective donors regarding contributions, to support CSUB athletics.
  • Work with the Director of Ticketing to sell premium seating at Men’s Basketball, Women’s Basketball, and Baseball games and facilitate the associated annual fund gifts tied to those opportunities.
  • Support fundraising initiatives for athletics programs, including coordinating outreach efforts with coaches and athletics staff and ensuring alignment with established fundraising priorities and approvals.
  • Assist with the drafting of proposals for donors and prospective donors using pre-made templates to support solicitation efforts.
  • Participate in the development and execution of cultivation events with prospective donors and current donors (i.e. AD’s Dinner, influencer dinners, and other meetings) by identifying participants, assisting with outreach, and supporting effective execution of engagement strategies.
  • Attend campus and community events to build relationships, increase program visibility, and identify prospective donors.
  • Maintain ongoing communication with donors and prospects to strengthen engagement and support long-term philanthropic relationships.
  • Manage an assigned portfolio of annual fund-level donors and prospects, maintaining regular communication to support retention, satisfaction, and continued engagement.
  • In coordination with the Associate Athletics Director of Development, and appropriate event staff, coordinate donor events that provide stewardship opportunities through reserving space, performing outreach, sending reminders to attendees, assisting with marketing/promotion of the event, and setting up and taking down the event.
  • Coordinate the ordering and distribution of gifts and promotional items and support delivery of donor benefits at the direction of the Director.
  • Attend and support athletics hospitality at sporting events to enhance donor experience and engagement.
  • Attend the AD's Council meetings and assist with related activities as directed.
  • Coordinate an annual, large-scale donor appreciation month to recognize Athletics Donors and increase awareness of the Roadrunner Club through stewardship gifts, email marketing, and related engagement activities.
  • Collaborate with the Data Analyst and Prospect Researcher to support prospect research and identification efforts by gathering, reviewing, and updating donor and prospect information.
  • Attend community and sporting events to network and develop relationships with prospective donors.
  • Regularly enter and maintain data into the university’s donor database ensuring accuracy and data integrity including updating contact information, reviewing giving history, managing relationships, running lists and reports.
  • Generate and review lists, reports, and data outputs to support donor outreach, campaign tracking, and engagement activities.
