About The Position

This position serves as a replacement for an Assistant Physician Office Coordinator in a fast-paced, high-volume urology practice. The role involves supervising staff, ensuring operational accuracy and completeness, and collaborating with the Office Coordinator/Manager on various administrative and compliance tasks. The practice is part of Mount Sinai Medical Center, a large, independent, not-for-profit hospital in South Florida known for its clinical excellence and commitment to healthcare training.

Requirements

  • 3 -5 years experience in a physician practice/healthcare setting or other relevant supervisory experience preferred

Responsibilities

  • In collaboration with OC/MGR supervises staff on a daily basis to ensure accuracy and completeness of all operations within the Department.
  • In collaboration with OC/MGR completes timely evaluation for each assigned staff on an annual basis or as stipulated.
  • In collaboration with OC/MGR conducts weekly staff meetings with staff to keep them apprised of any changes on office policy or procedures.
  • Follows the practice policy on completing all credentialing and re-credentialing applications for all Managed Care Companies for physicians in a timely manner.
  • In collaboration with OC/MGR monitors and completes UKG for staff and ensures that any overtime is approved prior to occurring.
  • In collaboration with OC/MGR schedules staff accordingly to ensure appropriate coverage for the department at all times.
  • Regularly monitors office for JCAHO Compliance including reviews of sample drug logs, sharps and completeness of patient records including Ambulatory Summary Records.
  • Attends monthly staff meetings with Physician Practice Administration.
  • In collaboration with OC/MGR reviews daily office work including Encounter Forms and appointment schedules for completeness and accuracy.
  • Ensures daily batches are complete and sent to the Billing office daily.
  • In collaboration with OC/MGR reviews Workflow Dashboard on a daily basis to ensure rapid and accurate billing.
  • In conjunction with OC makes sure that there is no missing slips on the board that date further back than two business days.
  • In conjunction OC/MGR addresses all case dashboard items within 2 business days.
  • In collaboration with OC/MGR makes sure staff acquires insurance eligibility and authorizations at least 2 business days in advance of scheduled appointments.
  • Addresses the No Show list on a daily basis and keeps the lists in a file with appropriate documentation.
  • Resolves problems and concerns of all clients with confidence and control in a timely manner.
  • In collaboration with OC/MGR monitors Petty Cash accounts as well as ensures that deposits are made on a daily basis with the Cashiers Department.
  • In collaboration with OC/MGR ensures timely submission of Time Study Sheets for all physicians in the practice.
  • Responsible for ensuring that par levels of office and medical supplies are kept.
  • In conjunction with OC monitors accurate physician time off, on-call and conference schedules.
  • Ensures that Physician Administration receives this information on a monthly basis and is updated as changes occur.
  • In collaboration with OC/MGR completes and submits pharmacy check list to Pharmacy Administration on a monthly basis.
  • In collaboration with OC/MGR completes and submits Audit Tracer to Physician Administration on a monthly basis.
  • Assists staff members with job duties as needed.
  • Completes work queues and reports in a timely manner, including but not limited to MSPQ, TOC, Unbilled Accounts, Studies Not Finalized, Telemedicine/Telephone Check-In/Out, Open Charts/Deficiencies, Cash Drawer, and MUSE.
  • Manages mychart messages, telephone encounters and billing epic notifications.
  • Participates in community outreach events related to their department specialty, such as lectures and weekend community events.
  • Engages with outside community physicians to generate referrals.
  • Define deficiencies within the clinical scope with appropriate certification if applicable.
  • Completes Evals on time and before due date.
  • Evaluates and completes employee job performance reviews promptly and accurately.
  • Performs scheduling coordinator duties as well as other departmental specific job responsibilities as needed.
  • Review and complete UKG if applicable dependent of the practice.
