About The Position

The Associate Workplace Specialist is responsible for the operational excellence and employee experience of their respective location. This role ensures consistent service delivery, workplace experience, and compliance. The AWS oversees building operations, vendor relationships, event management, capital projects, and health and safety protocols while driving efficiency and customer satisfaction.

Requirements

  • Bachelor’s degree in Facilities Management, Engineering, Business Administration, or related field preferred.
  • 3-5 years of facilities management experience.
  • Experience with distributed operational environments (corporate, industrial, labs, logistics).
  • Strong understanding of building systems, safety regulations, and asset management.
  • Ability to manage facilities remotely using monitoring platforms and digital tools.
  • Excellent communication and customer service skills across in‑person and virtual channels.
  • Proactive problem‑solver with the ability to support multiple sites and competing priorities.
  • Proficiency with CMMS, BMS, remote monitoring, Microsoft 365, and budgeting tools.

Responsibilities

  • Oversee daily facility operations across responsible site.
  • Develop and manage preventive maintenance programs, ensuring operational excellence and compliance.
  • Utilize remote monitoring tools (BMS, IoT sensors, CMMS) to track system performance and respond proactively to issues.
  • Coordinate scheduled and emergency work with regional vendors and technicians.
  • Conduct virtual inspections and audits for facilities.
  • Manage access control, security systems, and critical infrastructure in remote or low‑occupancy buildings.
  • Establish protocols for remote troubleshooting, emergency response, and escalation.
  • Maintain accurate asset inventory and documentation for all distributed sites.
  • Serve as the primary point of contact for end users and key stakeholders.
  • Ensure employees receive consistent levels of support and communication.
  • Lead service delivery initiatives that enhance the employee experience, regardless of site size or occupancy.
  • Select, evaluate, and manage vendors capable of supporting a distributed site footprint.
  • Establish clear SLAs and performance metrics with service partners.
  • Ensure cost‑effective and high‑quality service delivery.
  • Develop and manage operating and capital budgets.
  • Track expenses, forecast spending, and identify cost‑saving opportunities—particularly through remote monitoring and centralized service delivery.
  • Support execution of capital improvement projects.
  • Implement safety programs and compliance protocols.
  • Conduct routine safety reviews—both in person and virtually—and ensure corrective actions are closed out.
  • Maintain emergency preparedness plans and serve as point of contact for escalations.
  • Lead facility upgrades, system replacements, space changes, and construction projects.
  • Coordinate cross‑functional work with IT, Security, Real Estate, and HR teams.
  • Deliver projects on time, within scope, and on budget.
  • Supervise a dispersed team of technicians, coordinators, or service partners.
  • Provide direction, training, and performance feedback through both in‑person and remote leadership practices.
