Requirements

  • Bachelor's degree in Business Administration, Public Administration, Human Services, Social Work, or a related field.
  • 3-5 years of progressive experience in executive support, project management, operational coordination, or administrative leadership.
  • Experience supporting senior executives in a fast-paced, complex environment.
  • Demonstrated experience with data analytics, reporting, dashboards, and performance tracking.
  • Strong proficiency with Microsoft 365 applications, including Excel, Power BI, PowerPoint, Teams, Outlook, and SharePoint.
  • Must live in the Dallas Metro Area.

Responsibilities

  • Serve as the primary operational liaison supporting the Associate SVP.
  • Manage executive priorities, calendars, deliverables, and workflow coordination.
  • Prepare executive briefings, leadership presentations, meeting agendas, and strategic summaries.
  • Track key action items and ensure accountability across teams and departments.
  • Streamline communication and information flow to maximize executive effectiveness.
  • Coordinate and support organization-wide change management efforts.
  • Develop communication plans, stakeholder engagement strategies, and implementation timelines.
  • Monitor adoption efforts and identify barriers to successful change implementation.
  • Coordinate training activities and support organizational transitions.
  • Provide leadership with regular progress updates and risk assessments.
  • Collect, analyze, and transform data into actionable insights.
  • Develop dashboards, reports, and performance trackers that support decision-making.
  • Identify trends, opportunities, and operational improvements through data analysis.
  • Prepare presentations, board reports, compliance reports, and executive-level summaries.
  • Ensure data integrity, confidentiality, and HIPAA compliance.
  • Monitor contract deliverables, deadlines, and reporting requirements.
  • Coordinate documentation and information requests across multiple departments.
  • Support audits, accreditation activities, and compliance monitoring.
  • Identify potential compliance risks and proactively escalate concerns.
  • Maintain organized systems for tracking and reporting obligations.
  • Track project milestones, risks, dependencies, and outcomes.
  • Coordinate cross-functional teams, committees, and special initiatives.
  • Document key decisions, action plans, and implementation strategies.
  • Support grant reporting, data collection, and compliance activities.
  • Help implement tools, systems, and workflows that improve organizational effectiveness.
  • Identify operational inefficiencies and recommend practical solutions.
  • Conduct root cause analyses and support corrective action planning.
  • Develop process improvements that enhance productivity and accountability.
  • Serve as a strategic thought partner who proactively anticipates needs and solves problems.
