About The Position

The Real Estate Services Associate provides comprehensive executive, administrative, and operational support to the Real Estate Services Department while contributing to the successful management of Meadows & Ohly's healthcare real estate portfolio. This position partners closely with department leadership, Property Managers, Building Managers, vendors, and clients to coordinate executive operations, maintain accurate portfolio records, support tenant and vendor relationships, and improve departmental processes. The ideal candidate is proactive, highly organized, exercises sound judgment, and enjoys working in a collaborative culture built on servant leadership, integrity, and enhancing the lives of others.

Requirements

  • Associate’s degree required
  • Previous administrative experience required
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Experience with Smartsheet or the ability to quickly learn cloud-based business applications.
  • Excellent communication, organizational, and customer service skills.
  • Strong attention to detail with the ability to manage multiple priorities and deadlines.
  • Ability to handle confidential information with ​​professionalism and discretion.
  • Candidates must possess reliable transportation and maintain a valid driver’s license, as certain roles may require travel to client sites or other off-site locations.

Nice To Haves

  • Bachelor’s degree in Business, Real Estate, Property Management or related field preferred
  • Experience in commercial real estate, property management, or executive support preferred.
  • Knowledge of lease administration, real estate documentation, or financial reporting is a plus.

Responsibilities

  • Provide executive administrative support, including calendar management, meeting coordination, travel arrangements, and confidential correspondence.
  • Prepare, edit, and manage business documents, contracts, proposals, presentations, and reports.
  • Maintain real estate records, lease information, and operational documentation within company systems.
  • Support tenant relations, vendor coordination, building operations, and portfolio administration.
  • Assist with financial reporting, tenant billing processes, and vendor contract management.
  • Coordinate departmental projects, process improvements, and operational tracking.
  • Conduct building tours and provide support to Building Managers and regional teams.
  • Manage office operations, meetings, events, and general administrative functions.
