About The Position

Dell Medical School is seeking an Associate Program Manager for the Enterprise Project Management Office (EPMO). The EPMO plays a critical role in driving the strategic transformation of the institution. This role offers the opportunity to build a career in project management while contributing to the five-year strategic plan, Health Starts Here. The Associate Project Manager will own the full lifecycle of projects independently and support Project Managers on cross-functional initiatives spanning Workforce, Facilities, Integrated Clinical Practice, Research, Education, Finance, and Technology. The role involves working closely with a talented team of project managers, project coordinators, and executive leaders, gaining hands-on exposure across the institution's strategic priorities. The EPMO is a highly collaborative team committed to excellence, stewardship, and impact. This position offers meaningful projects with accountability and visibility, exposure across multiple strategic portfolios, direct mentorship from experienced project managers, and the chance to contribute to a mission-driven institution during a transformational period, including the opening of a new hospital and growth of the academic medical center.

Requirements

  • Requires a bachelor's degree in Business Administration, Healthcare Administration, Public Health, or a related field.
  • 1 to 3 years of experience in project coordination, project management, or operations.
  • Relevant education or experience may be substituted as appropriate.
  • Project Management: Plans, organizes, and manages resources to achieve defined project goals; develops and executes structured project plans; manages scope, schedule, and budget for assigned projects.
  • Organization and Time Management: Arranges resources and activities in a structured, efficient manner; coordinates multiple tasks and deadlines across projects; prioritizes effectively and adjusts to shifting timelines.
  • Written and Verbal Communication: Writes clearly and professionally across a variety of formats; prepares reports and documentation appropriate for varied audiences; communicates effectively with both technical and non-technical stakeholders.
  • Customer Focus: Demonstrates commitment to meeting stakeholder needs; builds relationships with project sponsors and team members; translates stakeholder needs into actionable project plans.
  • Dealing with Ambiguity: Adjusts plans as new information emerges; exercises sound judgment when working with incomplete information; seeks guidance from senior project managers when appropriate.

Nice To Haves

  • Experience supporting or managing projects in a healthcare, academic, or enterprise setting.
  • Experience with project management tools (e.g., MS Project, Smartsheet, Asana).
  • Familiarity with healthcare operations or regulatory environments.
  • Certified Associate in Project Management (CAPM), PMI.

Responsibilities

  • Manages Full Lifecycle of Assigned Projects: Defines scope, goals, deliverables, and success metrics; develops and maintains project plans, schedules, and resource assignments; tracks progress, flags risks and issues, and adjusts plans as needed; facilitates project meetings and communicates status updates; closes out projects with documentation and lessons learned.
  • Stakeholder Engagement and Communication: Works with administrative, operational, and clinical stakeholders; serves as a point of contact for stakeholders, communicating status updates clearly; manages stakeholder expectations and engagement; escalates issues and conflicts to senior project managers or leadership; builds collaborative working relationships across departments, coordinating with the Project Coordinator on communications and administrative needs.
  • Project Documentation and Reporting: Maintains project charters, status reports, and risk logs; contributes to executive summaries and dashboards; tracks decisions, changes, and approvals; ensures documentation meets compliance and audit standards.
  • Supports Cross-Functional and Strategic Initiatives: Partners with Project Managers on components of cross-functional, strategic initiatives; assists with change management and communication activities; contributes to stakeholder readiness and adoption efforts; steps in on portfolio work as assigned; helps prepare project plans, agendas, schedules, and documentation for cross-functional and strategic initiatives.
  • Budget and Resource Tracking: Tracks budgets and expenditures for assigned projects; coordinates with finance and procurement teams; assists with vendor coordination and invoice reconciliation.
  • Professional Development and Process Improvement: Participates in EPMO process improvement initiatives; seeks mentorship and feedback from senior project managers; supports standardization of templates, tools, and workflows; takes on increased project ownership and complexity over time.
  • Other duties as identified by department.
  • Marginal or Periodic Functions: Participates in strategic planning and governance meetings; attends professional development and industry events; supports special events and post-project evaluations.
