The Associate Producer will partner with production and creative teams to translate concepts into executable production plans. This role supports the full production lifecycle from planning through execution and post-event wrap-up. The Associate Producer will own assigned production workstreams, timelines, deliverables, and dependencies, coordinating with various partners including production vendors, technical directors, audiovisual partners, fabricators, entertainment partners, freelancers, and crew. They will also support staging, lighting, audiovisual, scenic, digital, entertainment, and experiential elements, as well as research and coordinate speakers, entertainment, vendors, and other production resources. The role involves developing and maintaining production documentation, schedules, trackers, specifications, and run-of-show materials. Additionally, the Associate Producer will participate in client meetings, production calls, site visits, and presentations, serving as a day-to-day contact for assigned production workstreams and vendors, ensuring clear and proactive communication of updates, needs, risks, and next steps. Financial responsibilities include supporting event production budgets, estimates, and scopes, obtaining vendor bids, comparing costs, supporting negotiations and contracting, tracking orders, invoices, and expenses against approved budgets, and identifying potential budget variances. On-site responsibilities include coordinating production logistics such as venue requirements, crew schedules, travel, shipping, talent needs, load-in/load-out, rehearsals, and technical production, as well as supporting site inspections, rehearsals, show flow, and on-site production execution. The Associate Producer may serve as an on-site lead for assigned production areas, vendors, or event elements, anticipating production needs and potential challenges, escalating risks, and helping develop practical solutions, while also supporting safety, contingency planning, and production quality control.
