About The Position

The Associate – Fleet Asset Management is responsible for the accounting, financial reporting, tracking, and administrative oversight of the company's fleet of vehicles and heavy equipment supporting powerline construction and utility operations. Works closely with Accounting, Fleet, Operations, Equipment, Purchasing, Maintenance, and field management to ensure accurate recording of fleet-related costs, assets, depreciation, repairs, fuel, leases, and equipment utilization.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business, or related field; equivalent work experience may be considered in lieu of degree.
  • 2+ years of asset management, preferably involving fleet, equipment, construction, transportation, or utility operations.
  • Strong Excel skills.
  • Excellent organizational and analytical skills.
  • High level of attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to communicate effectively with both accounting and field personnel.

Nice To Haves

  • Experience in powerline construction, utility construction, electrical contracting, heavy civil construction, or related industries.
  • Experience with equipment utilization and internal equipment rates.
  • Experience with fleet management software and/or ERP systems.
  • Experience with construction accounting systems.

Responsibilities

  • Maintain accurate accounting records for the company's fleet and equipment assets.
  • Oversee accounting for trucks, bucket trucks, digger derricks, trailers, heavy equipment, vehicles, and other powerline construction equipment.
  • Maintain fixed asset records, including acquisition cost, accumulated depreciation, book value, location, and equipment status.
  • Assist with capital expenditure tracking and budgeting for fleet and equipment.
  • Monitor equipment additions and ensure assets are properly classified and placed in service.
  • Track and reconcile fuel, maintenance, repair, parts, tires, insurance, registration, taxes, and other fleet-related expenses.
  • Review vendor invoices for accuracy and proper coding.
  • Investigate unusual or excessive fleet expenses and communicate findings to management.
  • Monitor repair and maintenance costs by vehicle and equipment unit.
  • Assist with establishing and monitoring fleet cost-per-mile, cost-per-hour, and other operating metrics.
  • Identify trends and opportunities to reduce fleet operating costs.
  • Work closely with Operations and Project Management to properly allocate fleet and equipment costs to projects and cost codes.
  • Ensure equipment-related costs are accurately captured for powerline construction jobs.
  • Assist with equipment billing and internal equipment rates when applicable.
  • Reconcile equipment usage reports with accounting records and project costs.
  • Assist management in analyzing equipment utilization and profitability.
  • Perform monthly reconciliations of fleet and equipment accounts.
  • Assist with month-end and year-end closing procedures.
  • Research and resolve discrepancies in a timely manner.
  • Maintain organized supporting documentation for audits and financial reporting.
  • Maintain accurate records for vehicle and equipment titles, registrations, and related documentation.
  • Assist with tracking insurance information and certificates associated with fleet assets.
  • Maintain records of equipment identification numbers, VINs, unit numbers, and locations.
  • Coordinate with Fleet/Maintenance personnel to ensure accounting records reflect current equipment status.
  • Assist with tracking equipment transferred between jobs, yards, states, or operating locations.
  • Support annual audits and provide documentation related to fleet and fixed assets.
  • Prepare recurring and ad hoc reports for management, including: Fleet operating costs, Equipment utilization, Fuel expense, Maintenance and repair costs, Equipment purchases and disposals, Fleet replacement schedules, Cost per mile/hour, Equipment cost by project, Fleet budget versus actual expenses.
  • Use financial and operational data to identify trends, variances, inefficiencies, and opportunities for cost savings.
