About The Position

The Associate Director of Integrated Facilities Management (IFM) – NOAM - provides senior-level operational leadership and performance oversight for a designated client portfolio. This role is accountable for the execution, quality, and financial performance of integrated facility services while supporting the strategic objectives established by the Global Director of IFM Operations and Strategy. The Associate Director serves as the primary operational client liaison for the geographical region, where responsibilities also include MSA compliance, adherence to business plan, budgetary control, capital planning and oversight of the daily management and operational activities associated with the portfolio. This is a 5 day on-site position based at our Client’s office locations in Eagan, Minneapolis, with remote leadership responsibilities for Senior/Regional Facility Managers and other reports across the US and Canada Region.

Requirements

  • Bachelor’s degree in Facilities Management, Corporate Real Estate, Engineering, Business Administration, or a related field required.
  • 8–12 years of progressive experience in facilities management, corporate real estate, or integrated FM environments.
  • Demonstrated experience managing multi‑site or complex portfolios with integrated hard and soft services
  • Proven leadership experience managing teams, vendors, and significant operating budgets.
  • Strong working knowledge of CMMS platforms, financial reporting tools, and Microsoft Office applications.
  • Ability to travel within the assigned portfolio and provide on-call leadership support as required.

Nice To Haves

  • Master’s degree (MBA or related discipline) preferred.
  • Professional certifications such as CFM, FMP, CPM, RPA, PMP, or LEED AP preferred.

Responsibilities

  • Provide day‑to‑day leadership and oversight of integrated facilities services, including engineering, maintenance, janitorial, life safety, site services, and workplace support functions.
  • Ensure all services are delivered in accordance with contractual requirements, SLAs, KPIs, and client performance standards; identify performance gaps and implement corrective actions as required.
  • Drive consistency, standardization, and best practices across assigned sites while supporting continuous improvement initiatives sponsored by the Global Director.
  • Support contract governance and compliance by monitoring service delivery against MSA requirements and escalating risks, deviations, or commercial impacts to the Global Director.
  • Lead the supplier performance management and expectation setting, to deliver through our third party vendors.
  • Develop, manage, and forecast annual operating and capital budgets (OpEx/CapEx) for assigned properties; track performance, explain variances, and identify cost optimization opportunities.
  • Lead the team to post accurate accruals and chase down vendor invoices within the invoicing window.
  • Support capital planning by providing scope input, financial analysis, and execution oversight for approved projects.
  • Monitor vendor costs and service delivery to ensure financial discipline, value realization, and contract compliance.
  • Serve as the primary operational point of contact for client stakeholders, building trusted, consultative relationships and ensuring alignment between facility operations and client business objectives.
  • Lead regular operational reviews, prepare and present performance reporting, and escalate risks or material issues to the Global Director as appropriate.
  • Partner with the Global Director to support broader account planning, strategic initiatives, and value-added service opportunities.
  • Directly lead, coach, and develop Regional/Senior Facilities Managers and below to drive engagement, accountability, and high performance.
  • Support recruiting, onboarding, training, and performance management activities to ensure appropriate staffing levels and skill alignment across the portfolio.
  • Foster a culture of safety, professionalism, and continuous improvement while building leadership capability and talent depth within the team.
  • Ensure compliance with all applicable local, state, and federal regulations, including environmental health & safety, fire/life safety, and corporate risk management standards.
  • Monitor subcontractor performance and ensure all work is completed safely, competently, and in accordance with approved procedures.
  • Support emergency response planning, incident management, and business continuity efforts across assigned sites.
  • Identify operational, financial, and compliance risks across the portfolio and partner with the Director to develop mitigation strategies.
