About The Position

The Associate Director of Athletic Engagement, UH Mānoa Athletics (Associate Director) is a key member of the University of Hawai‘i Foundation (UHF) Development Team, focused on coordinating, engaging, and providing operational oversight of UH Mānoa Booster and Alumni organizations that support the University of Hawai‘i at Mānoa (UHM) Athletics department. The Associate Director will provide support to the UHM Athletics Development team in matters that directly involve the University of Hawai‘i (UH) and UHF Leadership. Based at the UHM campus, the Associate Director may need to visit areas of the University campus, as well as locations in and around O‘ahu. The Associate Director may need to work weekends or evenings and may exceed a 40-hour work week to fulfill the demands of the position. The Associate Director must be able and willing to travel interisland or nationally upon request.

Requirements

  • Bachelor’s degree required.
  • Must possess a valid driver’s license as well as pass a background check including driving record upon offer of employment.
  • A reliable mode of transportation is required.
  • Ability to sit at a desk and use a computer for extended periods of time.
  • Occasional standing, walking, bending, reaching, and lifting of light office items up to 25 lbs.
  • Ability to operate general office equipment such as a computer, printer, photocopier, scanner, phone system, etc.
  • Hand-eye coordination and manual dexterity to use office equipment and handle paperwork.
  • Visual acuity to read printed and electronic documents and computer screens.
  • Ability to communicate verbally and in writing so others will understand.
  • Hearing and speaking abilities for in-person, phone, and video conversations.

Nice To Haves

  • A minimum of three to five years of progressive experience in non-profit organizations, especially in alumni, development, education, or membership settings, is preferred.

Responsibilities

  • Serve as a liaison between UHF, UHM Athletics Department, and UHM Athletic Booster clubs and Alumni clubs.
  • Oversee operational, engagement and strategic oversight of UHM Athletic Booster clubs and Alumni Clubs, such as Nā Koa Football Booster Club, and other affiliated booster and alumni clubs.
  • Build, manage and strengthen relationships and communications with Booster and Alumni Club leaders, boards, donors, alumni and UHM Athletics Leadership to advance UHM Athletics initiatives, improve operations and program outreach.
  • Coordinate and oversee regular communication, including newsletters, updates, and event invitations, to keep stakeholders engaged. Additionally, support in marketing, communication, promotional materials and social media content, in collaboration with internal and support roles.
  • Work with the UHM Athletics Development Team on events such as key fundraisers, community and alumni gatherings, and gameday experiences.
  • Collaborate with UHM Athletics to align club activities with departmental goals and campaigns.
  • Collaborate and support fundraising efforts by identifying opportunities, cultivating prospects, and assisting with donor stewardship as requested by UHF.
  • Track engagement metrics, develop and prepare reports on participation, fundraising outcomes, and program effectiveness.
  • Manage a calendar of club events and coordinate logistics, travel, and appearances for coaches or student-athletes, while ensuring strategic alignment with UHM Athletics initiatives
  • Develop initiatives to grow membership and increase alumni and community involvement in athletics programs, including the seamless transition for student-athletes to the Letterwinners Club upon graduation.
  • Ensure accuracy and maintenance of the Foundation database records with changes or additions to contact information, enter contact reports, and follow up on inquiries.
  • Gather, assemble and refine material and data required for correspondence, memorandums, reports, or other documents.
  • Establish and maintain effective working relationships with a broad constituency inside and outside UHF and the UH System. Represent UHF in a positive manner internally, to UH, and to the community.
  • Communicate in writing and/or verbally with high profile internal and external contingents, including UH and UHF leadership, alumni, donors, and supporters.
  • Regularly deal with diverse matters requiring a broad knowledge of the Foundation’s organizational operations and policies necessary to ensure appropriate decision-making protocols are followed.
  • Regularly work with information of a sensitive, highly confidential and strategic nature.
  • Support additional UHF UHM Athletics fundraising special events functions as assigned.
  • Perform a wide variety of special project work.
