About The Position

As the Associate Director Meetings, you will direct and manage activities and responsibilities within the Meeting Management Department and third-party meeting management company. Your role involves planning, coordinating, and executing Consumer Health and Radiology company events and related special projects. In collaboration with stakeholders, you will develop the annual schedule for internal and customer divisional meetings and events, serving as the business partner for internal and customer meetings.

Requirements

  • At least 7 or more years of meeting management experience.
  • Strong experience managing staff, including third-party meeting management teams, and making recommendations concerning department procedures to ensure work objectives are met.
  • Experience developing Standard Operating Procedures.
  • Familiarity with the development and management of division/business unit annual meeting schedules with excellent project management skills.
  • Computer literacy and expert proficiency in Microsoft Office.
  • Experience in Cvent.
  • Willingness to travel at least 40%.

Responsibilities

  • Plan executive-level meetings with strong experience in planning and executing meetings of varied sizes and levels for different departments or businesses.
  • Lead account management for all product launches and national sales/business meetings.
  • Establish strong business acumen and relationships within the Consumer Health and Radiology divisions to optimize the meeting management process with business requirements.
  • Supervise and train third-party Meeting Managers/Planners for approximately 400 meetings/events annually, ensuring diverse responsibilities are handled effectively.
  • Independently resolve complex issues affecting divisional objectives and guide team members in addressing challenges related to meetings and events.
  • Manage internal teams and third-party suppliers to ensure compliance with budgets, deadlines, and quality standards for meetings and events.
  • Partner with third parties to direct centralized sourcing and contracting programs; apply contract negotiation skills to negotiate favorable terms with suppliers, understand legal clauses, and engage legal resources as necessary.
  • Identify opportunities to enhance meeting costs and procedures; develop RFPs and ensure adherence to company policies and industry regulations.
  • Develop communication plans linking various departments with meeting management suppliers to achieve company objectives; collaborate with Finance on budget strategies.
  • Participate in annual objective-setting for third-party management and provide feedback on performance.
  • Assume additional responsibilities and meeting management services as assigned, maintaining confidentiality in all phases of responsibility.
