About The Position

Thomson Reuters is seeking an Associate Conference Producer to join their live events team. This role involves coordinating and executing logistical and administrative details for high-quality conferences aimed at Legal, Corporate, and Tax & Accounting Professionals. The position requires close collaboration with the manager of conference production and internal teams to ensure successful event delivery.

Requirements

  • 1–3 years of experience in conference programming or content strategy, with exposure to speaker curation and agenda development.
  • Strong organizational skills and the ability to manage multiple deadlines, calls, and correspondence simultaneously.
  • Demonstrated research skills and a critical eye for selecting and evaluating content for agendas and session materials.
  • Strong writing skills, with the ability to draft clear, engaging agendas, session outlines, and correspondence.
  • Strong presentation and interpersonal skills (both verbal and written).
  • Comfortably engaging business professionals and C-suite/senior executives, including via phone and email correspondence.
  • High energy, accountability, and attention to detail and deadlines.
  • A proactive, service-oriented approach to problem-solving and follow-through.
  • Ability to travel domestically and internationally up to five times per year.
  • Bachelor's degree required (Liberal Arts preferred).
  • Proficiency with MS Office Suite, especially a strong working acumen of PowerPoint.
  • Basic understanding of conference AV technology.
  • Familiarity with MS Teams, Zoom, On24 and other conference-related software solutions.

Responsibilities

  • Help identify, recruit and maintain relationships with speakers and subject matter experts.
  • Schedule and lead planning calls with speakers, faculty, and internal stakeholders.
  • Draft and send welcome letters, confirmation emails, and other correspondence to speakers and faculty.
  • Manage and maintain accurate faculty and conference details on internal tracking sites.
  • Conduct research on current and emerging topics and trends in the Legal, Corporate, and Tax & Accounting Professionals industries.
  • Draft conference agendas, session outlines, and related conference materials.
  • Coordinate the collection of speaker bios, headshots, presentations, and other required materials.
  • Collaborate with marketing and event planning teams to ensure consistent and effective promotion and execution of each event.
  • Provide excellent customer service and professional representation of Thomson Reuters.
  • Coordinate logistics for senior executives and external moderators, when requested.
  • Produce run of show/housekeeping documents for program co-chairs, faculty and AV teams.
  • Travel to attend and assist with conferences, as needed, managing on-site logistics and speaker coordination.
  • Leverage AI tools and adopt best practices to streamline research, content drafting, and administrative tasks.
  • Support and help drive engagement for blue chip events, such as the Executive Briefings.
