About The Position

Ophelia is a venture-backed, healthcare startup that helps individuals with Opioid Use Disorder (OUD) by providing FDA-approved medication and clinical care through a telehealth platform. Our approach is discreet, convenient, and affordable. We've been successfully operating in 14 states for almost six years and we're excited to continue our growth. We are a team of physicians, scientists, entrepreneurs, researchers and White House advisors, backed by leading technology and healthcare investors working to re-imagine and re-build OUD treatment in America. We're building a telehealth practice that operates across dozens of states, and we need an operational engine to keep it running smoothly for our patients and clinicians. This role is ideal for someone who brings a blend of operational excellence and systems thinking, is highly detail-oriented, and is deeply motivated by improving the experience for both patients and healthcare providers. You will support patient panel transitions, help keep our clinical dashboards accurate, and take on the administrative work that keeps the Clinical Operations team moving. It's a bit like keeping a dozen plates spinning at once (patient panels, spreadsheets, schedules) and genuinely enjoying it! On any given day you might be reassigning a patient panel during a clinician's leave of absence, double-checking that a dashboard is pulling the right data, or fixing a shared GSheets tracker. Over time, you'll grow from managing this data to building and updating the dashboards yourself.

Requirements

  • 1-3 years of experience in operations, healthcare operations, or a similar administrative/analytical role.
  • High-growth telehealth or healthtech startup experience preferred.
  • Strong Google Sheets skills (comfortable with formulas, pivot tables, and data cleanup).
  • Experience navigating and reading BI tools (e.g., Lightdash, Looker, Tableau) with a strong desire to learn how to build them.
  • SQL knowledge is a plus but not required
  • Exceptional attention to detail, strong written and verbal communication, and the ability to manage multiple ongoing tasks.
  • Comfort with routine administrative tasks, paired with the drive to improve the systems behind them.
  • Comfort with high work volume and ongoing changes inherent in managing a clinical practice, with an agile mindset to navigate evolving priorities.

Responsibilities

  • Manage Patient Transitions: Coordinate patient panel coverage and transfers during clinician attrition, extended leave, or parental leave.
  • Logistics Coordination: Reassign patients in the system, update internal records, and coordinate handoff logistics across teams.
  • Proactive Monitoring: Track overall panel coverage status and proactively flag capacity gaps or coverage risks to senior leadership.
  • Clinician Scheduling Support: Spot inefficiencies in clinician scheduling using a data-informed, strategic approach. Support day-to-day scheduling and calendar coordination as needed.
  • Dashboard Monitoring: Perform routine monitoring of existing dashboards to check that data looks correct and flag anomalies.
  • Tool Optimization: Maintain, update, and audit Google Sheets trackers, reports, and lightweight operational models used across the team.
  • Skill Growth: Partner with the data team on more complex analyses, and continue developing your data skills to serve as a resource for the Clinical Operations team. Over time, learn to build, update, and own dashboards or reports yourself.
  • Clinician Support: Serve as on-call support one day a week to triage and resolve routine clinician questions and requests.
  • Documentation: Maintain updated documentation and SOPs; assist with light credentialing/licensing paperwork as needed.
  • Ad Hoc Support: Support projects, special pilots, and other requests from senior Clinical and Operations team members.
  • Cross-Functional Collaboration: Partner with data and engineering teams to report dashboard issues and request technical fixes.
