About The Position

This position is primarily responsible for overseeing Santa Clara University’s compliance with National Collegiate Athletic Association (NCAA), West Coast Conference (WCC), College Sports Commission (CSC) and applicable governing bodies, as well as institutional, state and federal laws, policies and procedures pertaining to intercollegiate athletics. The role ensures and monitors that the University's athletic programs and employees are compliant with all applicable governing bodies’ rules and regulations. It also ensures the effective operation of compliance monitoring systems, including managing financial aid planning and operations, tracking roster management and eligibility of student-athletes to represent the institution, supporting Name, Image and Likeness monitoring and education, and advising campus constituents on legislation, policies, and procedures related to intercollegiate athletics compliance services.

Requirements

  • Bachelor’s degree required.
  • Eight to ten years of experience required working in an intercollegiate athletics compliance environment or other relevant, equivalent experience or education.
  • Strong Working knowledge of NCAA, CSC and other applicable rules and regulations.
  • Proven organizational skills with the ability to handle multiple tasks.
  • Demonstrated skills in oral and written communication.
  • Strong computer skills including familiarity with Word and Excel.
  • Ability to work in a fast paced, competitive environment.
  • Ability to interpret complex rules and regulations.
  • Ability to effectively establish and maintain cooperative working relationships within a diverse multicultural environment.

Responsibilities

  • Organize and manage all assigned aspects of Athletics Compliance activities.
  • Oversee the management of any compliance software platforms, including the NCAA, Teamworks and CSC applications.
  • Track both state and federal legal movement including legislative proposals, laws and legal proceedings and cases.
  • Manage NCAA, WCC and other governing bodies legislative processes including proposal development and voting procedures.
  • Serve as a compliance liaison to the NCAA, CSC and NCAA offices.
  • Conduct thorough investigations of known, alleged or potential rules violations in accordance with institutional policies and procedures.
  • Report and document violations as required.
  • Maintain and implement compliance policies and procedures, including regular assessment and development of new forms and procedures, as necessary.
  • Manage compliance staff and oversight of compliance operations related to recruiting, NCAA transfer portal, playing and practice seasons, camps and clinics, personnel and athletics eligibility.
  • Process all NCAA, WCC and other applicable compliance related waivers.
  • Manage NCAA annual reporting requirements including accurate and timely submission of NCAA and WCC required reporting (e.g., Sponsorship & Demographic Reporting, APR, GSR, etc.).
  • Manage initial eligibility certification for all incoming student-athletes.
  • Manage student-athletes’ athletics participation records for continuing eligibility certification.
  • Maintain roster and squad list records, which includes roster maintenance in all internal and external softwares (e.g. Teamworks, College Athlete Payment System, etc.) as required by the applicable governing bodies.
  • Support Senior Associate Athletics Director, Academic, Compliance and Student Services with final continuing eligibility certification with the Registrar’s Office, faculty athletic representative, athletics academic advisors and compliance services staff.
  • Collaborate with the academic support staff on academic matters affecting student-athletes’ eligibility.
  • Manage and educate student-athletes’ Name, Image and Likeness reporting requirements to protect athletics eligibility, including oversight of NIL GO, Influencer and other applicable platform processes.
  • Primarily responsible for the administration and monitoring of athletics scholarships in accordance with NCAA, CSC and institutional rules and regulations.
  • Primarily responsible for athletics processes related to student-athlete housing.
  • Lead the department’s effort as the primary liaison with the Office of Financial Aid and the Office of Housing.
  • Collaborate with the Athletics Business Office to ensure usage of specified funds complies with NCAA, WCC, CSC and other applicable regulations.
  • Administer and process athletics aid agreements.
  • Collaborate with Senior Athletics Director, Academics, Compliance and Student Services as well as other appropriate institutional staff on financial aid projections and future roster planning.
  • Research and share applicable rules interpretations with the necessary staff and involved parties.
  • Oversee department’s educational efforts regarding NCAA, WCC, CSC and institutional and departmental rules and regulations to all internal and external constituents.
  • Act as a liaison, where appropriate with other departments and divisions within the University and related outside groups (alumni, parents) as appropriate to given areas of responsibility.
  • Monitor industry best practices regarding rules awareness and processes for coaches and staff.
  • Attend NCAA or other applicable regional seminars regarding rules compliance.
  • Conduct annual compliance meetings with each team.
  • Collaborate with Senior Athletics Director, Academics, Compliance and Student Service department personnel on the annual review of the Student-Athlete Handbook.
  • Collaborate with applicable staff on programming related to compliance topics (e.g. gambling, NIL, etc.).
  • Support other student services programming as requested.
  • Provide support services for assigned programs as designated by the Athletics Director.
  • Assist with the development and implementation of assigned program schedules, ensuring consistency between other programs, and with an understanding of the financial and facilities resources available to each assigned program.
  • Work with appropriate program staff, while adhering to relevant policies and guidelines, to recommend to the Director of Athletics, or her designee, reasonable financial considerations (e.g., staffing levels, operational support, scholarship allocations, etc.) for assigned programs.
  • Approve intercollegiate schedules for assigned sports.
  • Ensure that NCAA requirements are met in the areas of scheduling, playing, and practice seasons for assigned programs.
  • Staff each home intercollegiate competitive event for assigned programs.
  • Monitor compliance with all relevant rules and regulations, including but not limited to, NCAA, WCC, other conferences, and the University.
  • Assist assigned programs in developing a clear concept of recruiting needs, including the development of recruiting strategies.
  • Conduct annual performance reviews of head coaches of assigned sports and oversee the performance review process of assistant coaches and other relevant program staff members.
