About The Position

The Sr. Associate, Administrative Assistant position resides in the Value & Implementation (V&I) organization, which includes Global Medical and Scientific Affairs as well as Outcomes Research. This position provides proactive, high-quality, flexible, and reliable administrative support to the Associate Vice President and Executive Directors within GMSA Oncology. This role assists with administrative functions relating to organization and communication across the team and ensures the efficient operation of the office and its team members. In addition to supporting the GMSA Oncology TA team, this position supports various division-related committees and meetings that enhance the division and further its goals. This position reports to AVP, Medical Affairs.

Requirements

  • At least 8 years of administrative experience.
  • At least 3 years supporting senior leadership roles.
  • Advanced analytical ability, independent judgment, creativity, and problem-solving capabilities.
  • Advanced proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools; ability to create executive-ready materials.
  • Experience scheduling complex, multi-leg domestic and international travel.
  • Experience working across international time zones and across cultures.
  • Demonstrated experience processing visa and passport applications.
  • SAP or equivalent ERP experience processing expense reports and basic financial tasks.
  • Exceptional communication skills to interact effectively with executives and internal/external stakeholders, both onsite and remotely.
  • Extraordinary attention to detail.
  • Proactive, self-directed, comfortable making decisions with incomplete information, and a well-developed sense of when to seek executive alignment.
  • Strong organizational skills and ability to handle and prioritize simultaneous assignments.

Nice To Haves

  • Advanced education or certifications (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification).
  • Event planning experience is a plus.

Responsibilities

  • Manages complex calendars, prepares correspondence and reports, and reliably handles confidential and politically sensitive issues.
  • Often serves as an initial point of contact for and liaison to outside visitors, clients and vendors.
  • Coordinates and performs multiple tasks while understanding the project principles and technical skills related to own work assignments.
  • Prioritizes work activities with little supervision.
  • Supports the use of Team Sites.
  • Schedules interviews.
  • Coordinates hiring and on-boarding of new hires. Also handle resignations/off-boarding.
  • SAP experience processing purchase orders, payment requests, and vendor add forms, as well as ability to run reports within SAP.
  • Concur experience for processing expense reports.
  • Communicates and interacts effectively with our company executives and internal/external clients both onsite and remotely to maintain workflow.
  • Coordinates special projects within the division or area.
  • Consistently demonstrates company leadership behaviors; able to deal with difficult situations and people diplomatically and effectively.
  • Schedules complex travel arrangements, including multi-leg domestic and international travel.
  • Handles visa and passport processing.
  • Handles and prioritizes many simultaneous assignments.
