As an Associate, Administrative Assistant supporting the Vice President, Alcon Vision Suite (Surgical Instruments), Global Surgical Franchise, you will be a trusted partner delivering high-level administrative and operational support in a fast-paced environment. Associate, Administrative Assistant (S) is primarily responsible for handling administrative tasks, supporting operations, and improving efficiency by following established procedures. This role is based at our onsite facility in Fort Worth, Texas.

Requirements

  • High School Diploma or equivalent
  • The ability to fluently read, write, understand and communicate in English
  • 3 Years of Relevant Experience

Responsibilities

  • Collaborating with internal stakeholders and cross-functional teams to ensure smooth day-to-day operations, clear communication, and alignment on administrative, operational, and budget-related activities.
  • Acting as a representative of the Vice President and a primary point of contact for the team, building strong relationships and facilitating communication, managing priorities, and ensuring timely follow-ups with senior stakeholders.
  • Developing and supporting effective working relationships with executive level, and cross-functional partners to support alignment and responsiveness.
  • Managing complex calendars, scheduling meetings, and coordinating domestic and international travel arrangements.
  • Budgeting activities in SAP, including creating and tracking purchase orders, processing invoices, and records within financial systems.
  • Editing, proofreading, formatting, and producing high-quality documents, reports, and presentations to support executive communication and decision-making.
  • Maintaining organized electronic and physical filing systems to ensure documentation is accurate, compliant, and easily accessible.
  • Handling confidential business and personnel information with professionalism, discretion, and adherence to GxP regulations and Standard Operating Procedures (SOPs).
  • Supporting executive-level deliverables by organizing materials for meetings, presentations, conferences, and reports, while coordinating interactions across the Vice President, Senior Directors, and broader organization.
  • Schedule/coordinate domestic and international travel.
  • Plan and coordinate team building activities, milestone celebrations, team achievements, offsites events, etc.
