About The Position

Our Houston office is seeking an experienced Assistant to provide high-level support to attorneys and assigned team members. This role is best suited for someone who brings 5–10 years of experience in a legal or professional services environment and is comfortable managing complex workflows, exercising sound judgment, and working independently in a fast-paced setting. Strong knowledge of legal processes, attention to detail, and a service-oriented approach are essential.

Requirements

  • Two (2)+ years of administrative experience required
  • Five (5) to ten (10) years of administrative experience supporting attorneys or senior professionals highly preferred
  • Prior experience in a large law firm or professional services environment strongly preferred
  • Strong understanding of legal terminology, procedures, and documentation
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Excellent organizational, communication, and time‑management skills
  • Ability to work independently, manage competing priorities, and meet deadlines
  • Billing and electronic billing experience required
  • e-filing experience required

Nice To Haves

  • Associate’s or Bachelor’s degree preferred
  • MOS certification a plus

Responsibilities

  • Manage attorneys’ calendars, including complex, multi‑time‑zone scheduling
  • Serve as a primary point of contact for clients, maintaining a professional and responsive presence
  • Triage and manage attorney emails and calls, proactively reducing administrative burden
  • Open new matters, prepare engagement letters, and coordinate conflict checks
  • Enter, edit, and close attorney time entries; prepare expense reports
  • Handle monthly client billing, including e‑billing, proforma review, budget tracking, and client inquiries
  • Prepare, format, proofread, and process legal documents in accordance with Firm standards
  • Maintain client and matter records, including coordination with Records for filing and retrieval
  • File legal documents with state and federal courts (e‑filing experience required)
  • Prepare audit letter responses and quarterly Lobbying Disclosure Act reports
  • Coordinate travel, meetings, video conferencing, and related logistics
  • Provide backup and overflow support as needed
  • Maintain strict confidentiality of all firm and client information
