About The Position

The Assistant Treasurer provides oversight to treasurer’s office staff, assists them in meeting deadlines and goals, and offers administrative support services. This role involves taking initiative to perform routine tasks independently, maintaining electronic and paper filing systems for efficient file retention and retrieval, and upholding board policies and administrative guidelines. The Assistant Treasurer is expected to advance the professional image of the school district through open and effective communication, utilizing problem-solving techniques to address concerns, and staying informed about program and procedure changes. A key aspect of the role is leveraging technology to prepare and process information, ensuring the accuracy of all data, and helping to prepare complete and systematic records. Specific duties include posting receipts, monitoring banking transactions, balancing ledgers, analyzing account activities, preparing monthly recaps, and maintaining the chart of accounts as directed. The position also involves overseeing and reviewing payroll processing and employee contracts, collaborating with contracted personnel for GAAP reports, working with State Auditors, and maintaining student activity accounts and building fund records. Additional responsibilities include reconciling bank statements, processing various forms and reimbursements, managing receivable accounts, preparing bank deposits, and generating insurance reports. The role also encompasses organizing supplies, preparing materials for shipping, composing correspondence, transcribing and duplicating documents, collecting and preparing statistical data, assisting with special projects, operating and maintaining office equipment, and processing mail and faxes. Maintaining administrative forms, assisting with record disposal according to retention schedules, respecting personal privacy, and maintaining confidentiality are crucial. The Assistant Treasurer will cross-train with other staff, participate in staff meetings and professional growth opportunities, and take precautions to ensure safety by watching for and reporting potential problems and risk factors. Reporting suspected child abuse and/or neglect is a legal requirement. The role aims to develop rapport, serve as a positive role model, and maintain a professional appearance and appropriate work attire. Additional responsibilities are assigned by the Treasurer, and other specific job-related duties may be directed.

  • Transcribes, duplicates, assembles, and processes routine documents and special mailings.
  • Collects, compiles, edits, and prepares statistical data and reports as directed.
  • Assists with special projects as directed.
  • Uses photocopy/scanning equipment.
  • Fixes minor malfunctions.
  • Contacts vendors as needed.
  • Processes mail and faxes (i.e., incoming, outgoing, and interoffice) as needed.
  • Maintains forms and paperwork related to administrative procedures and program functions.
  • Assist with discarding archived records following the board-adopted records retention/disposal schedule.
  • Respects personal privacy.
  • Maintains the confidentiality of privileged information.
  • Cross-trains with other office staff and assists with unexpected/urgent situations as needed.
