About The Position

This position is ONLY OPEN TO CURRENT CITY EMPLOYEES. Under general direction, with wide latitude for independent initiative and judgment, the Assistant to the Manhattan Borough Commissioner performs difficult and complex administrative work for the Manhattan Borough Commissioner. This role involves strategically managing the Commissioner's calendar, coordinating meetings, preparing materials, and utilizing data to create spreadsheets and charts. The Assistant will also review briefing materials, direct information flow, research and prioritize incoming issues, and communicate with various city divisions, agencies, and partners on behalf of the Commissioner. Additionally, the role includes drafting correspondence, responding to constituents and officials, providing general office support, assisting with special projects, and attending community meetings.

Requirements

  • A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
  • High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
  • Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.

Responsibilities

  • Manage the Manhattan Borough Commissioner's calendar strategically to maintain an efficient and effective schedule, exercise sound judgment in prioritizing competing demands, independently handling frequent reprioritization and coordinating meetings and appointments accordingly.
  • Initiate and coordinate meetings and conference calls and prepare necessary materials.
  • Utilize data provided by the Manhattan Borough Commissioner and Borough Commissioner's staff to create and maintain spreadsheets and charts.
  • Assign and review briefing materials, PowerPoint presentations and reports for the Manhattan Borough Commissioner.
  • Direct and maintain information flow to the Manhattan Borough Commissioner for timely response.
  • Research, prioritize and follow up on incoming issues and concerns addressed to the Manhattan Borough Commissioner and recommend an appropriate course of action, referral or response.
  • On behalf of the Manhattan Borough Commissioner, communicate directly with all divisions, other city agencies and key agency partners.
  • Assist in gathering information and preparing correspondence on behalf of the Manhattan Borough Commissioner and the Borough.
  • Draft correspondence and respond to constituents, elected officials, community boards and others on behalf of the Manhattan Borough Commissioner before established deadlines. Follow up and close out correspondence in the tracking system.
  • Provide general office support. Assist with copying, answering phones, maintaining files and other duties.
  • Assist the Manhattan Borough Commissioner and Borough Commissioner’s staff with special projects as needed.
  • Attend community meetings and Community Boards with, or on behalf of the Manhattan Borough Commissioner when requested. Provide detailed transcripts of meetings.
