About The Position

The Department of Urology is seeking a highly organized, proactive, and operationally sophisticated professional to serve as Assistant to the Chair. This role is not a traditional clerical or routine administrative support position. The successful candidate will function as a strategic operational partner supporting a complex academic medical leadership environment. This position requires exceptional organizational judgment, executive-level coordination skills, prioritization ability, discretion, adaptability, and the ability to independently manage competing responsibilities within a fast-paced and dynamic environment. The ideal candidate will help reduce operational friction, maintain continuity, manage complex scheduling demands, and protect executive bandwidth through proactive coordination and systems-based thinking.

Requirements

  • Knowledge in office management and administrative practices and procedures.
  • Knowledge of record retention regulations and ability to maintain confidentiality.
  • Proficiency in relevant software such as Microsoft Office Suite.
  • Ability to effectively communicate verbally and in writing, to include writing and preparing memorandums, letters, and other official correspondence.
  • Excellent time management and organizational skills.
  • Excellent interpersonal skills and demonstrated poise and professionalism.
  • This position may require the ability to maintain the security and integrity of UT San Antonio and its infrastructure per Texas EO-GA-48.

Nice To Haves

  • Knowledge of academic department in an institution of higher education is a plus.

Responsibilities

  • Directs and oversees daily operations of office and/or program.
  • Compiles data, statistics and other information and materials for meetings, lectures or events.
  • Handles department chairperson's correspondence, travel arrangements, committee agendas, filing, calendar, and mail.
  • Advises on policy, procedural and operational issues.
  • Independently composes, edits correspondence, devises course of action and independently responds to faculty-staff.
  • Serves as staff and resource designee and acts as liaison between faculty, staff and Chair Offices.
  • Manages calendar by scheduling appointments, designated activities and research.
  • Acts as liaison with internal and external groups/offices/ constituents.
  • Provides support to various departmental committees related to promotion-tenure of faculty, faculty mid-probationary review, post-tenure evaluation, tracking changes and appropriateness reviews with minimum faculty consultation, and prepares and distributes meeting minutes.
  • Composes correspondence for Chair/Executive level equivalent signature.
  • Reviews and edits draft publications and other written documents.
  • Assists with event planning and performs special projects as assigned.
  • Performs all other duties as assigned.
