About The Position

The Assistant will support both our Head of Legal Operations and Counsel, Legal Operations within the Office of the Chief Legal Officer. The position leads the offices for two highly busy executives and requires someone who will be comfortable working with individuals in a variety of roles both within and outside of the agency. The Assistant’s tasks will vary, but day-to-day responsibilities will include the following: Every member of CAA’s legal team is expected to be a values-driven, results-oriented leader who provides services with the highest level of professionalism, competence and efficacy.

Requirements

  • 1 or more years of administrative experience in a fast-paced, demanding environment
  • Proficiency in Microsoft Office applications (Excel, Outlook, PowerPoint, Word, etc.)
  • Proficiency in e-signature applications (Adobe, DocuSign, etc.)
  • Superior communication and organizational skills
  • Ability to address and respond to needs and issues quickly without compromising accuracy or attention to detail
  • Ability to exercise good judgment and take initiative
  • Ability to handle confidential information discreetly and with sensitivity
  • Ability to manage multiple on-going matters at once by multi-tasking and prioritizing tasks effectively
  • Ability to work in a dynamic organization, relate to clients, show empathy while delivering customer service, and build relationships with others within the organization to facilitate increased communication and efficiency.
  • Attention to detail and sense of urgency
  • Excellent communication and interpersonal skills (including but not limited to professional phone demeanor and thick skin to handle large personalities)

  • Excellent research and documentation skills

Responsibilities

  • Coordinate itineraries and submit monthly expense reports
  • File documents as needed
  • Handle high-volume scheduling and calls
  • Liaise with external attorneys and internal departments
  • Manage own responsibilities with minimal supervision
  • Provide administrative support to multiple executives
  • Provide research and documentation on legal matters as needed
  • Redline documents as needed
  • Resolve items that can be handled directly by an assistant
  • Review policies and other legal documents as needed
