About The Position

The Assistant Terminal Manager at STA is an on-site role responsible for daily operations in each terminal. This position answers directly to the Terminal Manager and has a line to corporate contacts and responsibilities including, but not limited to, the General Manager, Vice President, ROAM, Finance Director, and Human Resources. The ATM is tasked with great responsibility that is completed as he/she delegates tasks to others, including but not limited to Dispatchers, Clerical Staff and mechanics. The ATM is an important part of the Management Staff, having a direct line to our most important asset, our people. The Terminal Manager typically works days, Monday-Friday, with some need on weekends, overnights and holidays. The ATM will be needed to be an above average communicator and a delegator of tasks.

Responsibilities

  • Ensure the safety of all children and all passengers on our equipment is held above all else.
  • Evaluate your people and offer suggestions on ways to do a better job if needed.
  • Maintain a complete list of phone numbers and contact information for each person in each terminal for use in emergency situations or other situations where contact is needed.
  • Identify all training needs, participate in all training available and complete any training as noted by corporate training representatives.
  • Check runs and staffing – Ensure all runs are staffed and no runs are left open. Work with dispatchers to ensure every run is covered.
  • Contact other terminals as you have the need for people, or you have extra people. Close interaction and communication with your peers.
  • Work together and consult with each other at least daily. No one should ever be sent home with no work when another terminal is lacking drivers. We are Brown Transportation / STA not Scotia or Amsterdam. We labor share.
  • Check all messages (telephone / email / mail / other) and ensure there is nothing pressing for you to complete immediately. Return all calls and messages as appropriate. Email checks several times a day with return messages.
  • Work on Recruiting daily.
  • Document and track terminal days and runs daily to make it easier to complete billing sheets at the end of the month.
  • Ensure any COVID restrictions in the terminal are being adhered to.
  • Evaluate, approve or deny all time off for our people. Keep in mind the restrictions on months available, time available and amount of people able to be off at once. Refer to previous messages for clarification.
  • Check the staffing for the next several days. Look ahead and be PROACTIVE. Know what is going to happen several days from today… Ensure you have all runs staffed at all times.
  • Ensure all ST Pay is updated.
  • Meet with dispatchers daily to ensure there is nothing that is needed to make the team more successful.
  • Consult with and discuss charters with the Charter Coordinator and ensure there is adequate staffing for every charter in every terminal. Work in company web platforms as needed.
  • Ensure you are watching OT daily and keeping it to a minimum. OT must be held intact every school year.
  • Know and adhere to your terminal monthly P&L.
  • Refer to the Employee Handbook daily for many of our situations. It is there for our help, and we’ll use it. It is suggested that you print it out and keep it handy. Keep one posted in plain sight in every terminal for the observation of our people.
  • Refer to policies and procedures found on the company intranet for direction. If you have an issue that you cannot find in these areas, contact me and I’ll get the answer for you.
  • Ensure that all buses are sanitized daily. The ATM is also responsible for overall terminal cleanliness. This is an ongoing, daily process that is completed by others but the responsibility of the ATM.
  • Ensure all notifications to drivers are made and all essential paperwork is forwarded to them daily. Again, this is completed by a Dispatcher but is the responsibility of the TM.
  • Ensure that our daily runs are on time and not being billed back to us by the district as penalties. If a run is constantly late, the ATM must look at the reasons and find an appropriate solution.
  • Ensure all PPE is always available to our people. Done through others but the ultimate responsibility lies with the ATM.
  • Interact with our people in all terminals. Know your people, what motivates them and what we can do to retain them.
  • Look for innovative ways to retain all people. Run those plans by the team before starting the process.
  • Work towards the goal of Zero Accidents. That is the goal, and it can be realized if it is addressed by the ATM.
  • Other tasks and duties as directed by the TM, GM or his/her designee.
